Staffing Coordinator Job Description
Objective
The Staffing Coordinator is responsible for recruiting, interviewing, hiring, and onboarding qualified candidates to support the staffing needs of Clean Team. This role ensures that client sites are adequately staffed with reliable, trained employees while maintaining compliance with company policies and employment regulations. The Staffing Coordinator reports to the branch Operations Manager and collaborates with branch management to identify staffing requirements and facilitate the hiring and onboarding process. Staffing Coordinators are office-based with occasional travel to client sites for recruiting and/or onboarding. Typical hours are 11:30am – 4:30pm, with flexibility to respond to urgent staffing needs outside of regular business hours.
Responsibilities
- Partner with branch managers at 4pm meetings to understand staffing needs
- Source and recruit candidates through job boards, social media, community outreach, and employee referrals
- Post job ads tailored to attract qualified janitorial staff
- Conduct phone screenings and in-person/virtual interviews to evaluate candidate qualifications and cultural fit
- Coordinate background checks and pre-employment requirements
- Manage the onboarding process, including new hire paperwork, orientation, and training coordination
- Maintain applicant tracking and employee records in compliance with company and legal requirements (including I-9 completion and maintenance of expired documents)
- Support employee retention efforts by fostering a welcoming onboarding experience
- Track and report staffing metrics (open positions, time-to-fill, etc.)
- Assist with initial assignment scheduling, and workforce planning
- Partner with branch managers to collect completed documents to finalize offboarding administrative tasks for separated employees
Qualifications
- High school diploma or equivalent
- 1-2 years’ experience in recruitment, HR, or staffing coordination (experience in janitorial, custodial, or service industry a plus)
- Strong interpersonal and communication skills with the ability to build rapport quickly
- Organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment
- Proficient with Microsoft Office Suite and applicant tracking systems (ATS)
- Knowledge of employment laws and best practices in recruiting and onboarding
- Valid driver’s license and reliable transportation are required
