Overview
Premier company in New Hartford is seeking a Human Resources Administrative Assistant on a temporary-to-permanent basis to join their HR team. The ideal candidate will demonstrate strong organizational skills, attention to detail, and a proactive approach to managing confidential information. This position is responsible for Human Resource administrative support along with Payroll Assistant support, file maintenance and compliance in a fast-paced Human Resources Department.
Essential Functions
The position is responsible for professional confidential services in all areas of Company activity. Must maintain accuracy in all reporting.
Additional Responsibilities
Human Resources
- Maintains personnel files for hourly and salaried employees.
- Distributes insurance forms to employees, assists with questions.
- New Hire orientation packets, makes necessary pre-employment appointments.
- Assists with workers compensation and disability for employees, working with NH EHS, the company doctor and insurance carrier.
- Posts production and maintenance job bids.
- Handles vacation scheduling and tracking throughout the calendar year.
- Assist with corporate questions and reports of hourly employees.
- Knowledge of union contract pertaining to the aspects of this job (payroll, vacation, scheduling, holidays, etc.)
Payroll Assist
- Responsible for entering hourly job class, position and shift schedule in Kronos. Updates promotion on the shift and overtime also in Kronos.
- Calculates process operator incentive.
- Distributes checks.
Accounting
- Orders and maintains inventory of office supplies.
- Receives, in Oracle, all maintenance, production, safety and office orders.
Scheduling
- Assist with posting weekly production and maintenance schedules.
- Assist with scheduling changes and bumping.
- Distributes final schedule.
Administrative
- Receptionist to callers and guests.
- Responsible for mail meter and UPS.
- Picks up and distributes all incoming mail.
- Makes travel and lunch reservations as requested.
- Files updates to Finance Procedure binder.
- Filing, copying, faxing, etc. as requested.

Education and Experience
High School Degree or GED is required, but A.S. degree preferable. At least two years of experience in an administrative assistant role which demonstrates the ability to prioritize, multi-task and self-reliance is preferred. Computer literacy (Word, Excel, PowerPoint) in various programs is a requirement with advanced abilities in MSWord a must.
