Xi'an Famous Foods is a well-known and respected restaurant group based in NYC serving specialty Chinese cuisine in a fast-casual format.
This is a fully in-person role, as our company has no remote or hybrid positions.
RESPONSIBILITIES:
Maintenance & Facility Operations
- Serve as the main point of contact for daily maintenance issues across all stores and the central kitchen.
- Coordinate repair services by scheduling internal maintenance staff and outside vendors, managing site access, identifying solutions, establishing repair timelines, and ensuring issues are fully resolved.
- Communicate with store managers and staff to gather feedback and ensure follow-through.
- Manage incoming work order requests by routing them to the appropriate internal teams or vendors and documenting their progress and resolution.
Preventive & Compliance Maintenance
- Schedule and track recurring maintenance services such as grease trap cleaning, pest control, hood, and fire suppression system inspections.
- Assist in ensuring all facilities remain in compliance with safety, health, and regulatory standards.
- Maintain up-to-date records of all inspections, licenses, and facility-related documentation.
Construction & Store Development
- Assist in the end-to-end execution of new store build-outs, including timelines, budgets, and milestone tracking.
- Assist as the liaison between internal teams and external partners, including architects, contractors, designers, landlords, and city agencies.
- Assist in managing project documentation, RFI submissions, submittals, and close-out materials.
- Support the permitting process with the NYC Department of Buildings (DOB) and other regulatory agencies; ensure compliance with fire suppression systems, sprinklers, health codes, and related requirements.
- Track project progress and proactively address delays or changes.
Other Responsibilities
- Provide on-the-ground support for store and office needs as directed by management.
- Assist with special projects or cross-functional initiatives based on company priorities.
REQUIREMENTS:
Basic Requirements
- Authorized to work in the U.S
- Able to take initiative when working, identifying issues and finding solutions, and does not require specific directions to solve problems at hand
- Proficient in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and project tracking tools (eg. Monday)
- Able to type at least 60 words per minute
- Able to work full time (at least 40 hours a week) and flexible as necessary
- Able to work in our restaurants for any shift (day, night, weekdays, Saturdays) in all positions (front of house, kitchen, etc.) as part of initial training; able to support store operations as necessary on an on-going basis.
- Able to work well under pressure and multitask
- Able to communicate clearly and concisely
- Able to work fast/expeditiously
- Able and willing to assist with all aspects of the business operations as necessary
Position Requirements:
- Able to speak both English and Chinese (Mandarin) fluently
- Must hold at least a 2-year college degree, preferably with a Construction Management, Business Administration, Architecture/Engineering major, or Project Management major
- Must have at least 2-4 years of experience in facilities coordination, construction project coordination, or property operations
- Experience working with NYC permitting and compliance processes (Dept of Buildings, FDNY, etc.) is highly preferred
- Ability to travel to store and construction locations as needed

- Our company is a restaurant business, and we highly value cohesiveness between all staff, such as between office staff and front-line staff. As such, all new office staff are expected to go through training as cashiers/cooks in our stores during their first weeks. Once this initial training period is over (although rare for this position), office employees are still expected to help with restaurant operations if necessary, such as in our stores and production facilities.
