We are seeking an experienced Senior Client Service Associate who can step into a fast-paced advisory environment and hit the ground running. The ideal candidate has extensive experience working with Schwab Advisor Center and Fidelity Wealthscape and is comfortable handling client service requests independently from day one. This individual will serve as a centralized resource supporting multiple advisors, independently managing complex client service requests while helping ensure a consistent, high-quality client experience. We are looking for someone with a strong sense of accountability who can support our advisory team and become a trusted resource for exceptional client service delivery.
Responsibilities
- Serve as a point of contact for client service requests across multiple advisors, coordinating and prioritizing incoming work
- Provide comprehensive client service and advisor support, including corresponding with clients electronically and by phone, opening accounts, facilitating asset transfers, processing money movements, drafting letters of instruction, generating reports, and liaising with custodians and other professionals.
- Process account onboarding, including preparation of Advisory Agreements and custodial account agreements.
- Manage client service requests through resolution, including distributions, contributions, beneficiary changes, account maintenance, and statement requests.
- Monitor client account activity, research and resolve issues, and follow through proactively to ensure client needs are met.
- Document client interactions, requests, and transactions accurately and in a timely manner within the CRM and other internal systems
- Initiate and coordinate workflow processes across advisors and internal team members to ensure client-related tasks are completed on time
- Maintain risk awareness and compliance; identify and escalate issues in line with established procedures.
- Deliver a high standard of customer service and preserve client confidentiality.
- Assist with other firm projects as necessary.
Qualifications
- Minimum of 5+ years within a registered investment adviser (RIA) environment
- Experience with Fidelity and Schwab custodial platforms
- A proactive mindset and willingness to take ownership of responsibilities
- Strong written, verbal, and interpersonal communication skills
- Intellectual curiosity and a desire to continuously learn and improve
- High attention to detail and strong organizational skills, with the ability to manage competing priorities in a fast-paced environment with exceptional accuracy
- A professional, team-oriented attitude and commitment to a client-first culture
- Must be available to work standard Eastern Time business hours regardless of location (Eastern and Central time zones are preferred)
