Part-Time Operations Coordinator (Customer Success & Sales)
White Fir Cleaning is a growing residential cleaning company serving Greensboro, High Point, and surrounding communities.
We're looking for someone who wants to grow with a small business and eventually take on leadership responsibilities. While customer service is an important part of this role, we're ultimately looking for someone who wants to help build and improve the day-to-day operations of the company.
This position begins as a part-time Operations Coordinator role focused on lead follow-up, customer communication, scheduling, recruiting support, and administrative operations. As the company grows, our goal is for the right person to grow into a full-time leadership role with increasing responsibility for customer service, operations, and business management.

Location
This is a remote position.
Candidates who live in or are familiar with Greensboro, High Point, Jamestown, Kernersville, Oak Ridge, Summerfield, Pleasant Garden, Archdale, or the surrounding Triad communities are strongly preferred. Familiarity with local neighborhoods, travel routes, and service areas is valuable when coordinating cleaning appointments and supporting daily operations.
Schedule
- Part-time to start (approximately 15–20 hours per week)
- Weekend availability is required
- Some afternoon and early evening availability may be required
- Paid training provided
- Additional hours and responsibilities available as the business grows
Compensation
- $15.00-$18.00 per hour, depending on experience
- Additional performance incentive opportunities

What You'll Do
Lead Follow-Up & Sales
During the early stages of this role, lead follow-up and appointment booking will be among your primary responsibilities.
- Follow up with prospective customers who request quotes
- Respond to leads from Angi, Yelp, our website, referrals, and other marketing sources
- Contact prospective customers by phone, text, and email
- Help convert inquiries into booked cleaning appointments
- Build relationships with prospective customers
- Help increase recurring customers and customer retention
- Maintain organized records of customer communications
Operations & Scheduling
- Coordinate cleaning schedules for customers and cleaning teams
- Help optimize scheduling based on location, travel time, and cleaner availability
- Support cleaners with scheduling and operational questions
- Help improve company systems and administrative processes
- Manage company email inboxes and internal communications
- Assist with processing invoices, payments, refunds, and other administrative tasks
- Assist with payroll-related administrative duties as needed
Customer Success
- Answer inbound customer calls
- Gather customer information and provide service quotes
- Book, reschedule, and cancel appointments
- Respond to customer questions professionally
- Resolve customer concerns with professionalism and sound judgment
- Respond to customer reviews and feedback
- Help create an outstanding customer experience
Recruiting & Hiring Support
- Review resumes and communicate with applicants
- Assist with recruiting and onboarding new cleaners
- Schedule interviews
- Help maintain organized hiring and onboarding systems
What We're Looking For
We're looking for someone who enjoys taking ownership, solving problems, and helping improve how a business operates.
The ideal candidate is organized, dependable, customer-focused, and comfortable making decisions independently after training. Rather than simply completing assigned tasks, they enjoy finding better ways to serve customers and improve day-to-day operations.
We're more interested in finding someone with strong judgment, excellent communication skills, and a willingness to learn than someone who has experience with every task listed above.
You'll work with several business systems for scheduling, customer communication, recruiting, and operations. While experience with similar software is helpful, we'll provide training on the tools we use.
Preferred experience includes one or more of the following:
- Customer service
- Scheduling or dispatching
- Office administration
- Sales or lead follow-up
- Operations coordination
- Property management
- Recruiting or hiring support
- Small business administration
You should also have:
- Excellent written and verbal communication skills
- Strong organizational skills and attention to detail
- Confidence speaking with customers by phone
- The ability to manage multiple priorities
- A willingness to learn new software and business systems
- A high level of professionalism, accountability, and integrity
Long-Term Opportunity
Our goal is to develop this position into a leadership role as White Fir Cleaning grows.
Over time, responsibilities may expand to include:
- Managing day-to-day customer service operations
- Handling escalated customer concerns
- Overseeing scheduling and administrative processes
- Coordinating recruiting and onboarding
- Participating in hiring decisions
- Helping improve company systems and procedures
- Supporting the overall operation and continued growth of the business
