Position Overview
The Insurance Verification & A/R Claims Specialist supports both the financial and operational functions of the practice. This role ensures that insurance claims are accurately processed, accounts receivable are well-managed, and the office environment remains clean, organized, and welcoming for clients.
The ideal candidate is detail-oriented, proactive, and takes pride in keeping systems — and spaces — running smoothly. Experience in behavioral health billing and administrative office management is highly preferred.
Key Responsibilities
Insurance & Billing (Primary Focus – ~80%)
- Verify and document insurance benefits via phone and online portals for client policies and provide this information in a clear, easy to understand format.
- Review and interpret EOB’s/ERA’s to accurately address client inquiries as needed.
- Assist clients with both insurance and billing questions or concerns.
- Possess full understanding of coordination of benefits and accurately navigate client accounts that have two insurance policies.
- Identify, research, and resolve denied or underpaid claims promptly.
- Communicate with insurance companies to follow up on outstanding claims.
- Maintain accurate records of billing activity, balances, and communications.
- Generate and distribute patient statements and assist with payment collections via call, text, and email.
- Monitor aging reports and A/R to ensure timely reimbursement.
Administrative & Support (Secondary Focus – ~20%)
- Provide warm, friendly, and professional administrative support to clients and clinicians.
- Answer calls, respond to emails, and assist clients with scheduling or billing inquiries in a timely manner.
- Maintain confidentiality and HIPAA compliance in all communications.
- Assist with intake documentation, data entry, and client record maintenance.
- Maintain an effective and organized work space to ensure timely and accurate completion of responsibilities.
- Support leadership with reports and data organization.
- Perform other administrative duties as assigned to support the smooth operation of the practice.
Qualifications
Required:
- Minimum 2 years of experience in medical or behavioral health billing or insurance A/R management.
- Strong understanding of EOBs, CPT codes, insurance verification, and claim life cycles.
- Familiarity with HIPAA and patient confidentiality standards.
- Written and verbal communication skills.
- Proficiency in practice management/EHR systems (e.g., TherapyNotes, SimplePractice, or similar).
- Strong attention to detail, time management, and problem-solving abilities.
- Ability to work independently with minimal supervision.
Preferred:
- Experience in behavioral health billing and knowledge of Texas payers (Blue Cross Blue Shield, United Healthcare, Ambetter, Evernorth, etc.).
- Prior experience supporting a multi-clinician outpatient practice.
- Associate’s or Bachelor’s degree in Business, Healthcare Administration, or related field.

- Full time ~32 hrs/wk
- Monday 8a - 3p (In Office)
- Tuesday 8a - 3p (In Office)
- Wednesday 8a - 3p (In Office)
- Thursday 8a - 3p (In Office)
- Friday 9a - 1p (In Office)
- Compensation: $18-$22 per hour – based upon experience
