We are seeking a dependable, organized, and motivated Administrative Assistant who enjoys helping others,
communicates professionally, and takes pride in accurate, high-quality work.
Position Summary
The Administrative Assistant supports the daily operations of Complete Dignity through scheduling, client
communication, document preparation, file management, case support, office organization, and general
administrative assistance.
Key Responsibilities
- Answer and direct incoming calls and welcome clients and visitors professionally.
- Schedule client appointments, meetings, and office calendars.
- Monitor company email accounts and respond in a timely and professional manner.
- Prepare correspondence, reports, forms, presentations, appeals, and other business documents.
- Organize, scan, and maintain accurate electronic and paper client files and case records.
- Provide administrative support for patient advocacy cases.
- Communicate with clients, healthcare providers, hospitals, insurance companies, government agencies, and
other organizations.
- Conduct online research involving insurance policies, healthcare regulations, medical providers, and healthcare
resources.
- Assist with invoicing, accounts receivable, recordkeeping, and general bookkeeping tasks.
- Order and maintain office and client supplies.
- Provide limited support for website updates, marketing, social media, community outreach, and special
projects.
- Protect confidential client and company information and exercise sound judgment when handling sensitive
matters.
Qualifications
- High school diploma or equivalent required; an associate's or bachelor's degree in business administration or a
related field is preferred.
- At least two years of administrative or office experience.
- Strong proficiency with Microsoft Word, Excel, Outlook, Adobe Acrobat, and cloud-based applications.
- Excellent written and verbal communication skills, professional telephone etiquette, and strong customer
service skills.
- Exceptional organization, time management, attention to detail, accuracy, problem-solving, and critical-
thinking abilities.
- Ability to prioritize multiple responsibilities, work independently with minimal supervision, and contribute as
part of a team.
- Professional, dependable, self-motivated, resourceful, and able to maintain strict confidentiality.
- Healthcare, insurance, legal, or patient advocacy experience is preferred but not required.
Schedule, Compensation, and Employee Offerings
- Full-time, in-person position in Gilbert, Arizona.
- Monday-Friday, full-time daytime schedule.
- $20.00-$24.00 per hour, depending on qualifications and experience.
- Six paid holidays plus one floating holiday after successful completion of the 90-day introductory period.
- This position does not currently include employer-sponsored health insurance or retirement benefits.
