Catch A Fish Wellness is a busy, welcoming acupuncture and Chinese Medicine clinic in Herndon, and we're looking for a warm, organized, dependable person to be the heartbeat of our front desk. You'll be the first and last face every patient sees — the one who makes our clinic feel calm, cared-for, and five-star from the moment someone walks in.
This is not a quiet receptionist desk. You'll be in the mix — greeting patients, managing the schedule, and keeping the rooms and clinic flow moving — and if you enjoy being the steady, organized center of a friendly, fast-moving practice, you'll love it here. If you've worked as a medical receptionist, patient coordinator, or front desk receptionist — or you're simply a natural with people and ready to learn — we'd love to meet you.
What We're Looking For
Warm and personable. You enjoy connecting with people and making them feel welcome. Our patients aren't numbers — they're part of our community. You'll greet them by name and create a calm, comfortable experience.
Reliable and flexible. This is the big one. We need someone we can count on to show up on time, every day, and who can occasionally pick up an extra shift or cover when a teammate is out.
Organized and detail-oriented. You notice when things are out of place. You like clean spaces, clear systems, and accurate details, and you keep the front desk, rooms, and schedule running smoothly.
Calm under pressure. The environment is peaceful, but the role takes focus — greeting patients, turning over rooms, answering questions, taking payments, and keeping the schedule moving, sometimes with two or three practitioners working at once.
Interested in wellness (a plus). An interest in acupuncture, Chinese medicine, herbal medicine, yoga, meditation, nutrition, or healthy living is a bonus.
A good eye for simple design (a plus). A little comfort with Canva for the occasional flyer or handout is helpful, but not required.
What You'll Do
- Greet patients warmly and get to know them by name
- Manage appointments, check-ins, check-outs, and payments
- Answer basic patient questions and keep the front desk flowing
- Prepare, reset, and clean treatment rooms between patients
- Help maintain clinic tracking sheets in Google Sheets
- Give new patients a friendly clinic introduction
- Pitch in on occasional simple flyers or handouts
- Step in to cover shifts when a teammate is out
- Help keep the calm, clean, professional feel of the clinic
What You'll Need
- Availability for the full schedule below, including our Tuesday and Wednesday evenings
- Reliable transportation to Herndon, VA
- Comfort with computers and everyday software (Google Docs and Sheets, and learning our scheduling and payment system)
- Clear, friendly communication and a professional phone manner
- Prior front desk, medical office, spa, or hospitality experience is a plus — a great attitude matters more
Schedule
Full-time, Monday–Friday — no weekends:
- Monday: 9:30 AM – 6:00 PM
- Tuesday: 12:00 PM – 7:30 PM
- Wednesday: 11:00 AM – 7:00 PM
- Thursday: 9:30 AM – 6:00 PM
- Friday: 10:30 AM – 6:00 PM
The later starts and evening hours on Tuesday and Wednesday help us serve patients who work during the day. We're also looking for someone who can occasionally flex their schedule or cover a shift on short notice when a teammate is out.
