Job Purpose
Serve as the primary point of contact for patients, ensuring a seamless and professional experience from check-in through check-out while supporting scheduling, registration, and administrative processes.
Duties and Responsibilities
Patient Check-In
- Greet patients and verify demographic and insurance information to ensure accurate registration and billing processes
- Collect copayments and outstanding balances in accordance with practice policies
- Apply credits and send TEs to patients with refunds
- Ensure completion of all required forms and documentation prior to the patient visit
Patient Check-Out
- Schedule follow-up appointments and procedures in alignment with provider recommendations
- Provide patients with visit summaries, instructions, and next steps for their care
- Coordinate referrals and additional services as needed
- Complete patient forms (i.e. Return to Work, FMLA)
Scheduling and Access Management
- Answer incoming phone calls, voicemails, text messages, and EMR Portal messages
- Manage provider schedules to optimize appointment availability and reduce gaps
- Confirm appointments and communicate any schedule changes to patients in a timely manner
- Schedule follow-up visits for virtual visit appointments
- Process all walk-ins with Open Access forms
- Register online appointments into the EMR and verify insurance
- Schedule and verify FibroScan procedures
- Manage fatty liver class and participants
Customer Service
- Provide professional, courteous, and patient-centered service at all times
- Address patient concerns or escalate issues appropriately to ensure resolution
- Maintain a welcoming and organized front office environment
Other Duties
Performs other duties as assigned.
Flexible to cross-train in other positions within scope.
Requirements:
Required Qualifications
- High school diploma or equivalent
- Minimum of 1 year of customer service or administrative experience
- Strong communication and interpersonal skills
- Basic computer proficiency
Preferred Qualifications
- Experience in a medical office or healthcare setting
- Knowledge of insurance verification and scheduling processes
- Experience using EMR systems
