Salary Range: $65,000 - $70,000 per year
About the Role
MediVena is seeking an experienced, highly organized, and proactive Business Administration, Finance, HR Manager to join our growing team. This key leadership role is responsible for overseeing office administration, finance, human resources, customer service, order fulfillment, and operational processes.
The ideal candidate is a self-starter with strong leadership, organizational, and problem-solving skills who thrives in a fast-paced environment and can effectively manage multiple priorities while maintaining the highest level of professionalism and confidentiality.
Key Responsibilities
Office Management & Administration
- Oversee the day-to-day operations of the office to ensure an efficient and well-organized workplace.
- Manage office supplies, equipment, vendors, contracts, and service providers.
- Coordinate meetings, travel arrangements, and company events.
- Develop and improve office procedures and administrative processes.
- Maintain company records and ensure proper document management.
- Manage insurance policies, licenses, permits, and corporate documentation.
Finance & Accounting
- Manage daily accounting activities using QuickBooks Desktop.
- Process accounts payable (AP) and accounts receivable (AR).
- Prepare customer invoices, purchase orders, and vendor payments.
- Reconcile bank accounts, credit cards, and company expenses.
- Coordinate wire transfers and monitor cash flow.
- Maintain accurate financial records and supporting documentation.
- Prepare financial reports and operational analyses.
- Assist with month-end and year-end closing activities.
- Work closely with external accountants, auditors, banks, and tax advisors.
- Monitor collections and customer payment status.
Human Resources
- Coordinate recruitment, interviewing, onboarding, and offboarding processes.
- Maintain employee records and HR documentation.
- Administer employee benefits and company policies.
- Ensure compliance with federal, state, and local employment regulations.
- Support managers with employee relations and performance management.
- Coordinate employee training and development initiatives.
- Foster employee engagement and a positive workplace culture.
Order Fulfillment & Customer Service
- Oversee order processing, order entry, invoicing, and customer transactions in QuickBooks Desktop.
- Supervise Operations & Customer Service Specialists.
- Ensure timely and accurate order confirmations, invoicing, shipping documentation, and customer communications.
- Monitor order fulfillment performance and resolve operational issues.
- Provide escalated customer support and assist with complex customer inquiries.
- Manage customer complaints, returns, credits, and service issues in collaboration with QA/RA and Sales teams.
Financial & Cost Management
- Manage and control departmental and operational budgets.
- Analyze and recommend cost of goods sold (COGS), pricing tiers, and incentive structures.
- Track gross margin performance and identify corrective actions to improve profitability.
- Monitor inventory valuation, warehouse costs, freight expenses, and operational spending.
- Drive cost-reduction initiatives across sourcing, logistics, transportation, and warehousing.
- Utilize QuickBooks Desktop to support budgeting, forecasting, and operational analysis.
Team Leadership & Development
- Recruit, onboard, mentor, and develop Operations, Customer Service, Warehouse, and Administrative team members.
- Establish clear objectives using Management by Objectives (MBO).
- Define, monitor, and report Key Performance Indicators (KPIs) and performance metrics.
- Conduct regular team meetings, coaching sessions, and performance reviews.
- Foster a culture of accountability, compliance, teamwork, and continuous improvement.
Qualifications
Required
- Bachelor's degree in Business Administration, Accounting, Finance, Human Resources, Supply Chain Management, or a related field preferred.
- Minimum 3 years of experience in business administration, finance, operations, human resources, customer service, or a similar leadership role.
- Advanced QuickBooks Desktop experience required, including:
- Accounts Payable (AP)
- Accounts Receivable (AR)
- Customer Invoicing
- Vendor Payments
- Bank Reconciliations
- Financial Reporting
- Journal Entries
- Strong understanding of business operations, financial administration, and HR practices.
- Advanced proficiency in Microsoft Office, particularly Excel, Word, Outlook, and Teams.
- Excellent organizational, analytical, and time-management skills.
- Strong written and verbal communication skills.
- High level of integrity and ability to manage confidential information.
- Proven leadership experience and ability to manage cross-functional teams.
