We are seeking a highly organized and detail-oriented Sales Support Associate to join our sales team. This role provides essential administrative, operational, and customer service support to ensure a seamless client experience from initial inquiry through event execution.

Position Summary
The Sales Support Associate plays a key role in supporting the sales team by managing contracts, processing orders, responding to customer inquiries, and coordinating with internal departments to ensure successful event execution. This role is essential in maintaining smooth operations and delivering an exceptional client experience.
Key Responsibilities
- Assist outside sales representatives with inquiries, order entry, and client follow-up.
- Respond promptly to inbound leads from phone, email, website, and other digital platforms .
- Communicate with clients to answer questions, provide product information, and offer recommendations.
- Assist clients in selecting rental products based on event needs, availability, and pricing.
- Follow up with clients to confirm orders, finalize details, and ensure customer satisfaction
- Create, process, and maintain rental contracts with accurate pricing, items, and event details.
- Assist in preparing quotes, proposals, and invoices for clients.
- Ensure all customer information, signatures, and documentation are complete and accurate.
- Process payments, deposits, refunds, and billing adjustments as needed.
- Monitor and follow up on overdue contracts and alert management when necessary.
- Coordinate with warehouse, operations, and logistics teams to ensure accurate order fulfillment and event execution.
- Ensure timely delivery, pickup, and setup details are properly communicated.
- Assist in resolving last-minute changes, delivery issues, or on-site concerns.
- Work closely with clients to ensure all event requirements are met (tables, chairs, linens, décor, etc.).
- Maintain strong client relationships to encourage repeat business and referrals.
- Follow up post-event to gather feedback and ensure customer satisfaction.
- Handle customer concerns and resolve issues in a timely and professional manner.
- Ensure a smooth, high-quality rental experience from start to finish.
- Maintain accurate customer records in CRM and rental management systems.
- Update daily contract files and maintain organized documentation.
- Coordinate with sales team regarding client needs and event logistics.
- Support reporting by maintaining sales spreadsheets and tracking updates.
- Participate in team meetings and training sessions as needed.
Qualifications
- 1–3 years of experience in sales support, customer service, account coordination, or a similar role.
- Strong organizational and multitasking skills with attention to detail.
- Excellent verbal and written communication skills.
- Experience working in a fast-paced, deadline-driven environment.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Experience with CRM systems or order management software.
- Strong problem-solving and customer service skills.
- Experience in event rentals, hospitality, weddings, catering, or event planning.
- Experience supporting sales teams or managing contracts/orders.
