As our company continues to grow, we are looking for a highly organized and proactive **Operations Coordinator** to support the day-to-day administrative and operational activities of our production facility.
This position is essential to ensure the smooth operation of the kitchen by coordinating administrative tasks, supplier relationships, facility maintenance, employee records, and communication between departments.
Position Summary
The Operations Coordinator serves as the administrative backbone of the production facility. This role works closely with Management, Production, Purchasing, and Sales to ensure that daily operations run efficiently.
The ideal candidate is organized, resourceful, detail-oriented, and enjoys solving problems while working in a fast-paced food production environment.
Key Responsibilities
- Operations Administration
* Coordinate the daily administrative activities of the production facility.
* Maintain organized operational records and documentation.
* Prepare and update production reports and internal documents.
* Support management with various day-to-day operational needs.
* Assist in developing and maintaining Standard Operating Procedures (SOPs).
* Review and validate employee timesheets before payroll processing.
* Track attendance, vacation requests, and employee records.
* Assist with onboarding documentation for new hires.
* Maintain employee files and required certifications.
* Coordinate work schedules with management as needed.
- Vendor & Supplier Coordination
* Place purchase orders for packaging, office supplies, and production materials.
* Follow up on deliveries and resolve supplier issues.
* Verify invoices and purchase orders before submitting them to accounting.
* Maintain strong relationships with vendors.
- Facility & Equipment Management
* Coordinate repairs and preventive maintenance for production equipment and building facilities.
* Schedule service appointments with external contractors.
* Track maintenance requests until completion.
* Ensure the facility remains fully operational by proactively addressing maintenance needs.
- Be the main point of contact for maintenance
- Inventory & Purchasing Support
* Monitor inventory levels of packaging and operational supplies.
* Assist with inventory counts and stock reconciliation.
* Update pricing information on inventory management systems.
* Support purchasing decisions based on production needs.
* Maintain food safety records, temperature logs, sanitation documentation, and compliance files.
* Ensure required certifications remain current.
* Organize documentation for internal and external audits.
* Support compliance with FDA, HACCP, GMP, and company quality standards.
* Act as the liaison between Management, Production, Sales, Purchasing, suppliers, and external service providers.
* Answer operational phone calls and direct inquiries appropriately.
* Communicate effectively with internal teams to ensure smooth daily operations.
* Escalate operational issues when necessary and follow through until resolution.
Qualifications
* 3+ years of experience in an administrative, operations, manufacturing, hospitality, or food production environment.
* Excellent organizational and time management skills.
* Strong attention to detail and ability to multitask.
* Excellent communication and interpersonal skills.
* Proficiency in Microsoft Office (Excel, Outlook, Word).
* Experience with ERP or inventory management software is preferred.
* Ability to work independently and prioritize multiple tasks.

* Fluent in both English (written and spoken) and French (spoken) – Required

Preferred Qualifications
* Experience in the food manufacturing or commercial kitchen industry.
* Knowledge of HACCP, GMP, FDA, or food safety regulations.
* Familiarity with purchasing and inventory management.
* Experience coordinating maintenance and facility services.

Pay: $55,000.00 - $65,000.00 per year
