Administrative Assistant Position Summary
We are seeking a dependable, organized, and detail-oriented Administrative Assistant to support the daily operations of a busy residential construction company. This position plays a critical role in maintaining office efficiency and supporting a team of approximately 10–15 employees including management for field staff, service technicians, installers, and subcontractors.
The ideal candidate is professional, proactive, customer-service oriented, and comfortable managing multiple priorities in a fast-paced construction environment.

Administrative Assistant Job Responsibilities
Reception & Front Office Duties
- Answer and direct incoming phone calls professionally
- Greet clients, vendors, subcontractors, and visitors
- Manage incoming and outgoing mail, packages, and deliveries
- Maintain a clean, organized, and professional reception and office environment
- Coordinate office calendars, meetings, and appointments
Bookkeeping & Financial Support
- Perform daily bookkeeping functions using QuickBooks
- Process invoices, receipts, and purchase orders
- Assist with accounts payable and accounts receivable
- Reconcile credit card statements and vendor accounts
- Maintain organized financial records and documentation
- Assist management with reporting and administrative financial tasks
Office Supplies & Inventory Management
- Order and maintain supplies for office, kitchen, and other locations
- Monitor inventory levels and restock as needed
- Coordinate with vendors and suppliers for pricing and deliveries
- Organize and maintain supply storage areas
Kitchen & Office Maintenance
- Maintain cleanliness and organization of kitchen and common office areas
- Ensure kitchen supplies, coffee, beverages, and snacks are stocked
- Coordinate office maintenance or repair requests as needed
Document Management & Administrative Support
- Maintain organized digital and physical filing systems
- Manage document storage, scanning, indexing, and retrieval
- Assist with construction-related paperwork, permits, contracts, and project documentation
- Support managers and team members with correspondence, reports, and administrative tasks
- Prepare letters, spreadsheets, forms, and other business documents
- Assist with on-boarding paperwork and employee records as needed
General Office Support
- Provide day-to-day administrative support for a team of 10–15 employees
- Assist with special projects and company initiatives
- Help maintain company policies, procedures, and office organization
- Perform other general office duties as assigned
Administrative Assistant Qualifications
- High school diploma or equivalent required
- Associate degree or administrative training preferred
- 2+ years of administrative assistant or office management experience preferred
- Experience in construction, contracting, or related industries preferred
- Proficiency with QuickBooks and Microsoft Office applications
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Professional demeanor and customer service skills
- Ability to work independently and prioritize tasks effectively
- Strong attention to detail and accuracy
Administrative Assistant Preferred Skills
- Experience supporting construction operations or project teams
- Familiarity with construction terminology and documentation
- Ability to manage multiple deadlines in a fast-paced environment
- Experience with digital file organization and document management systems
Administrative Assistant Work Environment
