Job Overview
We are seeking a dedicated and highly organized Clinical Office Manager to help lead the administrative and operational functions of a boutique psychiatric practice.
This pivotal role combines clinical duties, clinical oversight with office management expertise, ensuring seamless day-to-day operations, compliance with healthcare regulations, and exceptional patient service. Responsibilities
- Oversee daily clinical operations, including patient scheduling, medical records management, and billing processes using EMR/EHR.
- Prior authorizations and insurance approvals
- Manage incoming patient referrals
- Schedule patients and manage Spravato treatments in clinic and comply with all regulatory data requirements for Spravato.
- Supervise other clinical team members, ensuring optimal team performance and adherence to healthcare practice standards.
- Manage fiscal responsibilities such as financial management and bill paying, medical billing, and resource allocation to maintain practice profitability.
- Ensure compliance with health regulation policies including HIPAA, JCAHO standards, and state/federal healthcare regulations through continuous monitoring and staff training.
- Coordinate human resources functions like hiring, training, performance evaluations, and managing staff schedules to support a productive work environment.
- Maintain high standards of customer service by addressing patient concerns promptly and ensuring a positive experience on the phone and in person.
- Oversee medical records and documentation accuracy while safeguarding patient confidentiality in accordance with HIPAA guidelines.
Qualifications
- Proven experience in medical office management or healthcare practice management within a clinical setting and basic medical assistant knowledge, i.e. taking patient vitals.
- Extensive knowledge of EMR/EHR systems and proficiency in Microsoft Office Suite is essential as well as Quickbooks.
- Familiarity with healthcare regulation policies such as HIPAA and JCAHO accreditation standards.
- Prior experience with fiscal management including budgeting, financial reporting, and medical billing processes as well as ability to do prior authorizations, and work with insurance companies and pharmacies.
- Background in behavioral health or medical office
- Excellent managerial communication skills combined with strong customer service orientation.
