The Business Office Manager (BOM) is responsible for the overall management of the facility's business office operations, including resident trust funds, billing support, collections, admissions financial processing, insurance verification, Medicaid applications, accounts receivable, and customer service. The Business Office Manager works closely with the Administrator, Regional Business Office, Admissions, Social Services, Nursing, and Corporate Finance to ensure compliance with all federal, state of Ohio, Medicare, Medicaid, and managed care regulations while providing exceptional customer service to residents and families.
Essential Duties & Responsibilities
- Manage the day-to-day operations of the Business Office.
- Maintain accurate resident accounts and billing records.
- Verify Medicare, Medicaid, Managed Care, Commercial Insurance, and Private Pay coverage.
- Assist residents and responsible parties with financial paperwork and payment arrangements.
- Process admissions, payer changes, discharges, and resident account reconciliations.
- Monitor accounts receivable and aggressively follow up on outstanding balances.
- Maintain Medicaid pending files and assist families with Medicaid application processes.
- Prepare and submit documentation requested by county departments, managed care organizations, and insurance companies.
- Maintain resident trust accounts in accordance with Ohio regulations.
- Complete daily cash postings, deposits, and financial reconciliations.
- Work closely with the Admissions Department regarding financial eligibility prior to admission.
- Educate residents and families regarding Medicare skilled coverage, copayments, insurance benefits, and financial responsibility.
- Review Explanation of Benefits (EOBs), remittance advices, denials, and payment variances.
- Coordinate with corporate billing personnel to resolve claim issues.
- Ensure HIPAA compliance and maintain confidentiality of resident financial information.
- Prepare reports related to census, collections, accounts receivable, and business office performance.
- Supervise business office personnel as assigned.
- Maintain compliance with all facility policies and Ohio Department of Health regulations.
- Perform other duties as assigned by the Administrator.
QualificationsRequired
- High School Diploma or GED.
- Minimum of 2 years of Business Office experience in a Skilled Nursing Facility, Long-Term Care, or healthcare setting.
- Knowledge of Medicare Part A, Medicare Advantage, Medicaid, Managed Care, Private Pay, and Commercial Insurance billing processes.
- Experience with accounts receivable and collections.
- Strong customer service and communication skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Ability to maintain confidentiality and work independently.
Preferred
- Associate's or Bachelor's degree in Business, Healthcare Administration, Accounting, or related field.
- Experience with PointClickCare or other long-term care electronic medical record/billing software.
- Ohio Medicaid eligibility and application experience.
- Knowledge of PDPM reimbursement and skilled nursing financial processes.
