Job Overview
We are seeking an energetic and detail-oriented HVAC Customer Service/Dispatcher to join our dynamic team. In this vital role, you will serve as the communication hub between customers, technicians, and suppliers, ensuring smooth scheduling, dispatching, and service delivery for HVAC (Heating, Ventilation, and Air Conditioning) systems. Your proactive approach will help us deliver exceptional customer experiences while maintaining efficient operations. This position offers a unique opportunity to be at the forefront of our service excellence, coordinating daily activities with enthusiasm and precision.
Essential Functions
1. Answer incoming calls, verify and update customer information into dispatching systems, schedule, and coordinate all work orders as calls are received.
2. Correspond with team members throughout the day via e-mail, text, and phone calls.
3. Create, manage and organize and dispatch customers and other work orders for all calls, and for all technicians and other team members.
4. Maintain the dispatch board’s fluidity using our dispatch software.
5. Respond to all messages left overnight & voicemails from missed calls throughout the day.
6. Monitor and respond to online chats.
7. Monitor and respond to website form completions.
8. Follow-up on all pending and recommended work with customers, technicians and leadership.
9. Create inbound call and technician turnover sales lead work orders for Project Advisors.
10. Create project folders for new jobs and build the job in the dispatching software according to the Project Advisors’ information of the equipment and materials needed.
11. Equipment and warranty registration and tracking.
12. Permitting jobs and scheduling inspections.
13. Review technicians completed jobs for any submitted parts request
14. Order the parts requested by technicians
15. Update customers on estimated time of arrival of parts
16. Schedule repairs once parts arrive
17. Warranty & Returns Shelf- Daily complete paperwork so parts can be returned
18. Dispose parts that the warranty has been completed
19. Special projects, as needed, and other general office responsibilities.
Skills
- Excellent communication skills with a focus on professional phone etiquette and clear written correspondence
- Ability to perform data entry accurately under pressure while managing multiple priorities using multi-line phone systems
- Experience in dispatching within HVAC or similar service industries is preferred but not required
- Strong organizational skills to coordinate efficiently

Pay: $18.00 - $20.00 per hour
