Operations Coordinator
Position Summary
Triple R Transportation is seeking a highly organized, proactive, and customer-focused Operations Coordinator to join our Truckload Division. This individual plays a critical role in ensuring the successful execution of freight shipments by serving as the primary communication link between customers, carriers, drivers, and our operations team.
The ideal candidate is detail-oriented, organized, and passionate about delivering exceptional customer service. While previous transportation or logistics experience is beneficial, it is not required. We welcome candidates with strong customer service experience who are eager to learn the transportation industry. We provide the training and support needed to be successful in this role.
Key Responsibilities
Shipment Monitoring
- Track and monitor active shipments from pickup through final delivery.
- Maintain accurate shipment status updates within the Transportation Management System (TMS).
- Proactively identify delays or service issues before they impact customers.
- Ensure shipment milestones are properly documented.
Customer Communication
- Provide timely and accurate shipment updates to customers.
- Respond promptly to customer inquiries regarding shipment status.
- Communicate professionally with customers via phone and email.
- Build strong customer relationships through responsive, high-quality service.
Carrier Coordination
- Communicate with carrier dispatchers and drivers to obtain shipment updates.
- Confirm pickup and delivery appointments with shippers and receivers.
- Coordinate with carriers to resolve issues that arise during transit.
- Serve as the communication link between carriers and the operations team to ensure shipments remain on schedule.
Operational Support
- Identify potential pickup or delivery issues before they impact service.
- Proactively communicate with carriers, customers, and internal team members to resolve issues quickly.
- Partner with the operations team to develop and implement effective solutions.
- Escalate critical issues when necessary to minimize service disruptions.
- Follow through until shipment issues are fully resolved and all stakeholders are informed.
- Support the operations team in maintaining high service levels and on-time performance.
Documentation Management
- Request, collect, and upload required shipment documentation, including:
- Proofs of Delivery (PODs)
- Carrier invoices
- Bills of Lading
- Rate confirmations
- Other shipment-related documentation
- Verify documentation for completeness and accuracy.
- Maintain organized electronic shipment files.
Customs Coordination
- Coordinate customs documentation between carriers, customs brokers, and customers.
- Ensure required import and export paperwork is received and distributed in a timely manner.
- Assist in resolving documentation issues that could delay cross-border shipments.
Qualifications
- Previous experience in customer service, logistics, transportation, supply chain, or a related field is preferred but not required.
- Candidates with strong customer service experience who are eager to learn the transportation industry are encouraged to apply.
- Excellent written and verbal communication skills.
- Exceptional organizational and time management abilities.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Strong attention to detail and follow-through.
- Professional problem-solving skills and the ability to remain calm under pressure.
- Proficiency with Microsoft Office, particularly Outlook and Excel.
- Experience with transportation management systems (TMS) is a plus but not required.

Pay: $60,000.00 - $75,000.00 per year
