At Arkansas Valley Regional Medical Center (AVRMC), we understand that efficient administrative support is essential to providing high-quality rehabilitation services. We are seeking a detail-oriented, organized, and dependable Office Assistant to join our Rehabilitation Services team in La Junta.

As an Office Assistant, you will be responsible for organizing and managing the daily flow of department operations under the direction of the Rehabilitation Services Director. This role plays a critical part in supporting patient scheduling, medical records management, insurance authorization processes, departmental reporting, and supervision of non-clinical support staff.
This is a Full-Time position within our Rehabilitation Services Department.
- Verify all required patient documentation and ensure medical records are complete and accurate
- Admit patients into Meditech and maintain accurate patient information
- Ensure insurance authorization requirements are completed prior to scheduled patient visits
- Supervise and support accurate patient scheduling through staff training and communication
- Work closely with clinical team leaders to coordinate patient visits, meetings, and staff schedules
- Maintain medical records security and accurate departmental filing systems
- Complete chart audits at discharge and 90-day readmission intervals to ensure documentation compliance
- Provide chart copies and assist with record requests as required for claims processing and regulatory purposes
- Coordinate timely transfer of records to the Medical Records Department
- Supervise and assist non-clinical support staff with daily operational functions
- Provide coverage for departmental secretary duties as needed
- Assist with interviewing and onboarding new clinic staff
- Meet the communication needs of patients, physicians, and department staff
- Effectively identify issues and implement problem-solving initiatives to improve department operations
- Assist Patient Accounts Representatives as needed
- Accept additional duties and special projects as assigned
- Ensure accurate data entry and effective use of patient care databases
- Perform random audits to assess documentation and scheduling accuracy
- Enter daily charges into Meditech and monitor timely submission of charges by therapy staff
- Assist with inpatient charge entry processes
- Prepare monthly departmental statistical reports
- Collect, track, and report departmental statistics as requested
- Report database issues, concerns, and opportunities for improvement to department leadership
- Order office and clinical supplies while supporting cost containment efforts
- Assist with inventory management and supply conservation initiatives
- Oversee annual department supply inventory processes
- Coordinate weekly ordering of supplies and printed materials
- Assist in maintaining department equipment and resources to support daily operations
- High School Diploma, GED, or equivalent
- Basic computer proficiency and data entry skills
- Strong organizational and multitasking abilities
- Ability to communicate effectively both verbally and in writing
- Ability to maintain strict patient confidentiality
- Strong customer service and interpersonal skills
- Ability to work independently and collaboratively in a team environment
- One (1) year of experience in an acute care hospital setting
- One (1) year of supervisory or office management experience
- Knowledge of medical terminology
- Basic Life Support (BLS) Certification
- Experience with Meditech or other healthcare information systems
