Damage Claims Coordinator
Position Type: Part-Time, 25–30 hours per week

Position Overview
We are seeking a highly organized, detail-oriented Damage Claims Coordinator to manage and facilitate damage claims for our high-end home furnishings business.
Because we work with a wide variety of furniture, accessories, and home furnishing vendors, damaged merchandise occasionally arrives at our warehouse or showroom. This position will be responsible for managing the claims process from the time damaged merchandise is identified through final resolution.
The ideal candidate will be an excellent communicator, comfortable working with vendors and internal team members, and highly organized in managing multiple claims simultaneously. This individual will help ensure that damaged merchandise is documented, tracked, communicated, and resolved in a timely and professional manner.
Key Responsibilities
- Receive and review reports of damaged merchandise upon delivery or receipt.
- Document damaged items, including photographs, descriptions, purchase order information, invoices, and other supporting documentation.
- Initiate and manage damage claims with vendors, manufacturers, freight companies, and other appropriate parties.
- Communicate with vendors to determine the appropriate resolution, including:
- Replacement of damaged merchandise
- Vendor credits or refunds
- Repair or restoration of damaged items
- Return or disposal instructions, when applicable
- Track all open damage claims and follow up regularly to ensure timely resolution.
- Maintain accurate records of each claim, including claim status, communications, credits, replacements, repairs, and final resolution.
- Coordinate internally with the receiving, warehouse, sales, design, and customer service teams as needed.
- Monitor replacement orders and repair timelines to ensure damaged merchandise is resolved and customer commitments are met.
- Identify claims that require escalation and communicate issues to management.
- Help develop and maintain organized processes and procedures for managing damaged merchandise and vendor claims.
- Provide regular updates to management regarding outstanding claims, aging claims, and unresolved issues.
- Assist with other administrative or operational projects as needed.
Qualifications and Skills
The ideal candidate will have:
- Excellent written and verbal communication skills.
- Strong organizational skills and exceptional attention to detail.
- The ability to manage multiple projects and claims simultaneously while maintaining follow-through.
- A proactive approach to problem-solving and resolving issues.
- Strong interpersonal skills and the ability to communicate professionally with vendors, freight companies, customers, and internal team members.
- Basic proficiency with Microsoft Office or Google Workspace, including email, spreadsheets, and document management.
- The ability to learn and work within company software systems, including order management, inventory, or POS systems.
- The ability to maintain accurate records and keep information organized and up to date.
- A high level of accountability and ownership over assigned responsibilities.
- Previous experience in customer service, operations, logistics, purchasing, vendor relations, claims processing, or a similar administrative role is preferred but not required.
Ideal Candidate
This position is ideal for someone who enjoys creating order out of a busy environment and takes satisfaction in seeing projects through from start to finish. The successful candidate will be comfortable following up with vendors, keeping detailed records, and ensuring that issues do not fall through the cracks.
Experience in the furniture, home furnishings, interior design, retail, logistics, receiving, or shipping industries would be helpful, but we are primarily looking for someone who is organized, dependable, communicates exceptionally well, and can independently manage a day-to-day workload.
Schedule and Compensation
- Part-time position: Approximately 25–30 hours per week.
- Schedule may offer some flexibility depending on business needs.
- Compensation will be based on experience and qualifications.
- This position may have the opportunity to grow as the business expands.
