Advisor Concierge & Marketing Coordinator

Job Purpose
The Marketing Advisor Concierge ensures proper flow of office procedures and supports our
Real Estate Advisors, Broker, and Management by carrying out office duties and marketing
coordination. A priority is to maintain a positive, friendly, and professional company image by
acting as the first line of contact and support to visitors, customers, and vendors in person,
online, and via telephone, while also serving as the team's primary marketing and technology
resources.
New-Agent Onboarding
- Order credentials and set-up new advisors with their E&V email account, email
signature, mobile phone email and business cards.
- Follow and complete the onboarding checklist.
- Set up and train new advisors on all E&V tools & technology, including CRM and
marketing platforms.
- Coordinate new advisor social media and press-release welcome announcements.
- Set-up new advisors in Profit Power and collect all required advisor paperwork, e.g.,
ICA, direct deposit form, W-9, proof of insurance and other required documents.
- Manage the internal onboarding process for new advisors.
Marketing & Digital Asset Management
- Assist with shop social media, creating content and posting to shop platforms.
- Upload new listings to shopTV and assist in shop website maintenance.
- Create window exposes, property exposes, and send exposes to feeder markets for
window exposure.
- Assist advisors with pre-list marketing strategies.
- Distribute listings to AC's for cross-selling opportunities on social media.
- Partner with EV Corporate to identify, coordinate, and execute marketing and press
opportunities for individual advisors and high-profile listings.
- Manage design and creative direction of marketing materials using Canva, MARQ, and
other design tools.
- Build and maintain reusable Gmail templates and scheduling systems to streamline
advisor communication.
- Own the creation, formatting, and scheduling of monthly newsletters through Rezora and
other email marketing platforms.
CRM Management & Tech Support
- Serve as the internal expert for database management, property matching, and client
tracking using Lofty and Real Scout.
- Provide basic technical support and software training on CRM and marketing platforms
to all advisors.
Interns
- Supervise and train shop interns in E&V responsibilities and Internship Training Program
requirements.
- Assist Shop Manager in ensuring Internship Program requirements are satisfied for each
intern and complete Internship Program reviews when requested.
- Assist interns in finding living accommodations, opening a bank account, getting a social
security card, using public transportation, orienting to the area, etc.
- Help provide cultural experiences and include interns in shop or company events,
trainings and staff or advisor holiday events, if possible.
General Office Support & Operations
- Consistently create a welcoming environment and positive culture within the shop.
- Greet advisors and visitors as they come into the shop.
- Plan for weekly sales meeting, provide refreshments if needed, and prepare an agenda
with the Shop Manager and/or Broker.
- Provide on-going training on E&V tools & technology by arranging virtual or lunch-and-
learn training sessions with relevant topics.
- Organize, manage and host company or other special events.
- Assist advisors with set-up of the conference room for client meetings.
- Answer phones, distribute mail and be responsible for opening and closing the office
daily.
- Manage procurement of office supplies and office vendor services, like janitorial or
copier services, as needed, including basic accounting for office expenses.
- Keep all areas in the office clean, orderly, and always presentable: kitchens, restrooms,
conference rooms, and waiting areas.
- Provide operational support to shop managers and advisors across both teams,
including property research and event or listing coordination.
- Provide administrative support for and fulfill other duties assigned by EVGG leadership.
Autonomy & Initiative
You take true ownership of the office and its responsibilities, operating with a high level of
independence to maintain exceptional standards without needing constant supervision. You
anticipate the needs of your advisors, dive into the details, and move quickly when priorities shift
between commercial and residential demands—all without losing sight of everyday operational
tasks.
Pay: $25.00 per hour
