Position Summary
The Program Manager is responsible for overseeing the daily operations of the agency’s programs and ensuring the delivery of high-quality services to individuals served. The Program Manager supervises direct support staff, coordinates communication with case managers, guardians, and external providers, and ensures that program documentation and services remain compliant with state regulations and agency policies. This role supports client care planning, staff oversight, and program coordination. The Program Manager works closely with clinical staff, human resources, and leadership to maintain program quality, safety, and compliance.
Primary Responsibilities
- Oversee daily operations of assigned programs.
- Supervise and support Direct Support Professionals (DSPs).
- Coordinate communication with case managers, guardians, and external providers.
- Ensure services and documentation meet agency and regulatory standards.
- Support implementation of clients’ Personal Care Plans (PCP).
- Maintain accurate client and program records.
- Manage staff scheduling and attendance tracking.
Key Duties & Responsibilities
Communication & Coordination
- Coordinate correspondence between case managers, guardians, and the Maine Department of Health and Human Services (DHHS).
- Develop and maintain professional working relationships with case management agencies and service providers.
- Facilitate communication between program staff, clinical staff, guardians, and case managers.
Client Intake & Care Planning
- Meet with guardians, case managers, and potential clients to discuss services and program expectations.
- Assist in reviewing and implementing clients’ Personal Care Plans (PCP).
- Support the development of client goals and ensure staff understand care expectations.
Incident Reporting & Compliance
- Document and report incident events through systems such as Evergreen according to Maine Department of Health and Human Services reporting requirements.
- Ensure incidents are properly documented and followed up according to agency policy.
Staff Supervision & Scheduling
- Develop and maintain staff schedules to ensure adequate program coverage.
- Monitor staff attendance and track staff clock-in and clock-out times.
- Address attendance issues and ensure staff follow agency timekeeping procedures.
- Provide supervision and support to Direct Support Professionals during shifts.
- Conduct staff meetings and communication program updates.
Documentation Oversight
- Review daily service notes completed by Direct Support Professionals.
- Ensure documentation is accurate, complete, and submitted on time.
- Assist staff with system access issues, including password resets when necessary.
Client Record Management
- Maintain and update client records including information related to case managers, primary care providers, guardians, psychiatrists, and other external providers.
- Ensure records are organized, accurate, and compliant with agency documentation standards.

- Ability to manage daily program operations and staff scheduling.
Preferred Qualifications
- Experience working in social services, behavioral health, or developmental services.
- Experience supervising Direct Support Professionals or similar roles.
- Knowledge of state regulatory requirements and incident reporting procedures.
Pay: From $24.00 per hour
