Medical Receptionist
POSITION SUMMARY
The Medical Receptionist provides a wide variety of front desk administrative and clerical support. This includes serving as an integral part of the patient check-in and check-out process, coordinating and scheduling appointments and transportation, receiving incoming calls, and compiling medical records and charts. The Medical Receptionist maintains a positive and professional image when interacting with patients, their families, physicians, employees, and the general public while completing various assigned duties.
ESSENTIAL JOB FUNCTIONS

Administrative
- Greet patients and answer incoming calls.
- Execute patient check-in and check-out procedures.
- Receive and screen communications, transmit detailed information, answer questions, take accurate messages, and keep staff informed of communications received.
- Manage the waiting room area and ensure the lobby adheres to Alyeska Trauma and Acute General Surgery office standards.
Scheduling
- Receive and accurately process referrals, ensuring all required information is complete.
- Coordinate and maintain the electronic appointment calendar using sound judgment when scheduling and rescheduling patients within the EMR.
- Schedule and assist with meetings, education classes, and special initiatives.
- Coordinate patient transportation as requested.
Medical Records
- Complete medical record requests in a timely manner in accordance with standard operating procedures.
- Ensure medical records are maintained accurately while protecting patient confidentiality in compliance with departmental policies and HIPAA.
Data Entry
- Accurately enter patient information into the electronic medical record (EMR).
- Create new patient charts with complete demographic information.
- Routinely verify and update patient information.
Billing
- Verify patient insurance information according to established procedures.
- Update insurance information as needed.
- Collect co-pays, co-insurance, deductibles, and outstanding patient balances.
Customer Service
- Present a professional appearance and demeanor.
- Provide outstanding customer service to patients, families, coworkers, and visitors.
- Build positive interpersonal relationships while demonstrating compassion and professionalism.
- Develop an understanding of patient needs and work to exceed expectations.
- Maintain strict patient confidentiality in accordance with HIPAA regulations.
Communication and Teamwork
- Communicate compassionately and professionally with patients, families, visitors, and coworkers.
- Demonstrate strong interpersonal skills and collaborate effectively with the healthcare team.
- Support and assist in training new employees as needed.

ESSENTIAL JOB QUALIFICATIONS
Education
- High School Diploma or equivalent required.
- Medical certification (MA, PCA, or equivalent) preferred.
Experience
- Previous healthcare experience preferred.
- Licensure/Certification
- None required.
Other Qualifications
- Strong attention to detail and organizational skills.
- Ability to prioritize work and adapt to changing priorities.
- Ability to work independently in a fast-paced environment with limited supervision.
- Proficiency with computers, electronic medical records, and Microsoft Office applications.
- Knowledge of medical terminology preferred.
Attendance
Regular and punctual attendance is an essential function of this position.
English Language
Must be able to read, write, and speak English proficiently.
Physical Requirements
- Remain in a stationary position approximately 75% of the workday.
- Occasionally move throughout the office to access files, office equipment, and supplies.
- Frequently operate computers, printers, scanners, copiers, telephones, and other office equipment.
- Occasionally stoop, kneel, crouch, or reach while stocking supplies or adjusting equipment.
- Frequently communicate with patients, physicians, and staff to coordinate patient care.
- Lift and carry up to 15 pounds.
