We are seeking a friendly, organized, detail-oriented, and service-focused Patient Services & Billing Specialist to join our growing eye care practice. This position plays an important role in both the patient experience and the financial operations of our practice.
The ideal candidate will have strong experience with medical insurance, insurance verification, claims processing, accounts receivable, and patient billing, while also being comfortable interacting directly with patients. This individual should be highly organized, accurate, professional, and able to manage multiple priorities in a fast-paced healthcare environment.

Position Summary
The Patient Services & Billing Specialist is responsible for providing an exceptional patient experience while managing key aspects of the practice's insurance and billing processes. Responsibilities include insurance verification, benefit review, patient financial communication, claim submission and follow-up, payment posting, account reconciliation, and assisting patients with billing questions.
This position also supports front-office operations, including scheduling, patient communication, registration, and administrative tasks. The successful candidate will serve as an important point of contact between patients, insurance companies, providers, and the practice.
Key ResponsibilitiesInsurance Verification & Benefits
- Verify patient insurance eligibility and benefits accurately and timely.
- Review insurance plans to determine applicable deductibles, co-pays, co-insurance, and coverage limitations.
- Obtain and document necessary insurance information prior to patient visits.
- Communicate insurance benefits and estimated patient financial responsibility clearly and professionally.
- Maintain accurate and up-to-date patient demographic and insurance information.
- Identify potential insurance or billing issues before services are rendered whenever possible.
Medical Billing & Claims Management
- Prepare, review, and submit accurate medical insurance claims.
- Review claims for accuracy and completeness prior to submission.
- Ensure appropriate documentation and coding information is present for billing.
- Monitor claim status and follow up on outstanding, unpaid, or delayed claims.
- Investigate and resolve claim rejections and denials.
- Correct and resubmit claims as necessary.
- Communicate with insurance companies regarding claim status, benefits, payments, denials, and discrepancies.
- Identify recurring billing or insurance issues and communicate them to management.
- Maintain accurate records of billing activity, claim status, and insurance correspondence.
- Assist with accounts receivable follow-up and outstanding patient balances.
Patient Billing & Financial Communication
- Post payments, adjustments, and insurance payments accurately.
- Process patient invoices and statements.
- Review patient accounts for accuracy and resolve discrepancies.
- Contact patients regarding outstanding balances when appropriate.
- Explain charges, insurance payments, and patient financial responsibility in a clear and professional manner.
- Respond to patient questions regarding billing, insurance, payments, and account balances.
- Handle sensitive financial conversations with professionalism, empathy, and confidentiality.
- Process payments and maintain accurate financial records.
Patient Communication & Scheduling
- Answer incoming phone calls promptly and professionally.
- Schedule appointments and assist patients with questions and requests.
- Process voicemails, emails, text messages, mail, and faxes within established timeframes.
- Confirm upcoming appointments and assist with patient recall efforts.
- Contact missed calls and return messages promptly.
- Direct messages and tasks to the appropriate team members.
- Identify appropriate opportunities to schedule appointments for family members.
- Provide a welcoming and professional experience throughout every patient interaction.
Patient Registration & Administrative Support
- Prepare and maintain accurate patient charts and records.
- Confirm patient identity and demographic information during patient interactions.
- Update patient information as needed.
- Maintain accurate documentation in the practice management and electronic medical record systems.
- Order contact lenses as needed.
- Follow established office procedures, billing protocols, and scheduling guidelines.
- Assist other team members with administrative responsibilities as needed.
Qualifications & Experience
- Previous experience in medical billing, insurance billing, claims processing, or healthcare accounts receivableis strongly preferred.
- Experience working in a medical or optometric/ophthalmic office is a plus.
- Strong understanding of health insurance plans, eligibility, benefits, deductibles, co-pays, and patient financial responsibility.
- Experience with insurance claim submission, follow-up, denials, and resubmissions.
- Familiarity with CPT and ICD-10 coding and medical billing practices.
- Experience with electronic medical records (EMR/EHR) and practice management or billing software.
- Proficiency with Microsoft Office, including Word and Excel.
- Strong attention to detail and a high level of accuracy.
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills.
- Ability to maintain patient confidentiality and comply with HIPAA requirements.
- Ability to work independently while contributing effectively as part of a team.
