This is NOT a traditional assistant position.
If you're looking for a job where you answer phones, schedule meetings, and simply check off tasks, this isn't that.
If you love helping an entrepreneur stay focused, organizing ideas into action, exercising good judgment, solving problems, improving systems, leading productive meetings, and helping build an amazing company... keep reading.
ABOUT US
We're a small, close-knit team of four located in West Wichita, just west of Sedgwick County Park.
We specialize in helping family-owned HVAC companies across the United States grow their businesses through local SEO, websites, Google Business Profiles, content creation, strategy, and everything else related to marketing.
We genuinely care about our clients and take tremendous pride in the work we do. We believe in long-term relationships, doing the right thing, and helping small business owners build better businesses and better lives.
We're also a family-friendly company that believes work should be meaningful, challenging, enjoyable, and rewarding.
ABOUT MATTHEW
I'm creative, energetic, optimistic, and constantly thinking about ways to improve our company and better serve our clients.
Ideas are not my problem. In fact... I have too many.
What I need is someone who can help capture those ideas, organize them, determine which ones deserve attention today, which ones should wait, and make sure the most important projects actually get finished.
Your job isn't to say "yes" to every idea.
Sometimes your job is to smile and say, "That's a great idea... but not this week."
WHAT YOU'LL DO
Your primary responsibility is protecting the owner's focus and helping our company consistently execute the projects that will have the greatest impact.
Some days you'll work directly with me, helping prioritize projects, organize ideas, research opportunities, and make sure important initiatives continue moving forward.
Other days you'll be improving internal systems, supporting operations, helping the sales dept, coordinating projects, researching solutions, or finding better ways to serve our clients.
One week might look completely different than the next.
If variety excites you, you'll probably love this role.
IMPORTANT
One of the most important parts of this role is leading our weekly execution meetings.
Every week we meet as a team to review our operational and sales scorecards, identify roadblocks, assign priorities, and make sure the right work is getting done.
You'll own that process.
That means making sure the meetings happen every week, everyone comes prepared, scorecards are updated beforehand, discussions stay focused, action items have clear owners and deadlines, and projects continue moving forward after the meeting ends.
You're not just scheduling meetings.
You're helping create the operating rhythm of our company.
Experience leading productive meetings, driving accountability, and following projects through to completion is extremely important in this role.
You're Probably a Great Fit If...
- You've supported a business owner, executive, or entrepreneur and understand how to help someone with lots of ideas stay focused on what matters most.
- You're organized, but even more importantly, you have excellent judgment.
- You're confident enough to respectfully push back when priorities change.
- You naturally create order out of chaos.
- You enjoy solving problems instead of simply pointing them out.
- You love research and figuring things out.
- You're comfortable leading meetings, holding people accountable, following up on commitments, and making sure important work actually gets finished.
- You aren't intimidated by strong personalities.
- You're comfortable saying, "Not yet," when it's the right answer.
- You're warm, positive, humble, and genuinely enjoy helping people succeed.
- You take ownership instead of waiting to be told what to do.
What Success Looks Like After One Year
If we're sitting down together a year from now, we'll both feel successful if...
- I'm significantly more focused on the highest-impact work.
- The company is growing because we're consistently executing our most important priorities.
- Our weekly meetings have become one of the most valuable parts of our business because they're organized, productive, and lead to meaningful action.
- Important projects consistently get finished because priorities are clear, owners are assigned, and accountability is simply part of how we operate.
- Our team has more clarity, better systems, and less confusion.
- You've become someone our entire team depends on.
- You're beginning to take on leadership responsibilities well beyond simply supporting me.
This role has tremendous room for growth.
I'm not looking for someone to simply help me today.
I'm looking for someone who wants to become one of the key leaders in our company over the next several years.
The right person won't simply become my assistant. They'll become a trusted partner.
