Job Summary
Reporting directly to the Senior Vice President while working under one or more Event Sales Managers, the Event Producer is an integral team member in leading and supporting sales staff at Goen South by coordinating and executing client events. Goals include superior client satisfaction, skilled management of event details, data input, and communicating to all internal staff and outside vendors needed information to execute a successful event for the client and hotel.
Essential Functions
- Oversee production for all delegated events including: pre-production, vendor management, onsite execution, and event close out
- Work alongside Goen South Design Team, Operations Team, Event Sales Managers, and other Event Producers to coordinate all events from initial proposal through execution of events
- Responsible for the pre-planning of executed contracts to include availability inquiries/holds, securing vendor quotes, invoices, knowledge of vendor contract details and communicating, work with Accounting on vendor payments, securing, organizing load in/out details
- Work closely with Operations Crew Chief on event set-up and other tasks related to projects
- Work with the Sales Team on brainstorming, proposals, layouts, etc.
- Create and manage internal production documents including but not limited to: proposals, contracts, and run of show
- When directed, act an Onsite Coordinator in the place of and/or in addition to the contracting Event Sales Manager for the execution of an event
- Close projects in a timely manner following Goen South standard protocol
- Submit expenditures to Accounting in a timely manner
- Enforce company policies and standards with external vendors
- Attends and participates in all required Goen South meetings
- Promote safety and security in all internal/external departments

Job Qualifications
- Education: High School Diploma OR 2-years’ experience in the hospitality industry
- Experience: 2-years in hospitality industry or administrative experience
- Reliable mode of transportation

Physical Demands
- Frequent sitting while working in the office
- Standing and walking for an extended period of time during site visits and event set-ups
- Frequently lifts/carries up to 25 lbs
- Ability to stoop, kneel, grasp, lift, push, and pull weights up to 50 lbs
- Travel Required: Due to the nature of a DMC, overnight travel may be required up to 15% out of the year to multiple locations within the Goen South service area to manage events
Work Environment
- Duties are primarily inside a temperature-controlled office and/or venue but requires frequent work outside in a hot/cold and wet/humid conditions
- Frequently required to work nights, weekends, and some holidays
- Flex hours available to recompense for long days and nights at events
