The firm serves a diverse client portfolio, including real estate clients, corporate structures, recurring accounting services, tax compliance, Act 60 decree-related matters, and special projects.
We are seeking an organized, proactive, service-oriented, and bilingual Accounting Services Associate with accounting knowledge to support the firm’s day-to-day operations, including accounting services, client follow-up, bookkeeping, document organization, tax support, and overall operational continuity.
Job Overview:
The Accounting Services Associate will be responsible for supporting the firm’s client service operations by following up on required documents, coordinating recurring service requirements, maintaining organized client files, and assisting with bookkeeping, reconciliations, tax return support, and tax compliance matters.
This position requires a strong sense of responsibility, diligence, sound judgment, follow-through, and proactivity. The selected candidate must be able to identify client needs, route questions appropriately, and help ensure that recurring services are completed in an organized, consistent, and timely manner.
The role will report directly to the firm’s partners and will support matters related to tax returns, filings, tax compliance, and administrative, operational, and client service functions.
Responsibilities:
- Serve as a client support and follow-up point of contact, maintaining clear, professional, and timely communication in Spanish and English.
- Support the onboarding of new clients, including requesting, receiving, organizing, and filing required documents.
- Maintain updated client information, recurring service requirements, deadlines, pending items, and follow-up tasks.
- Use QuickBooks Online and other internal tools to support bookkeeping, transaction posting, document organization, and general accounting tasks.
- Request, review, and organize bank statements, receipts, invoices, checks, and other documents needed for recurring client services.
- Perform or assist with bank reconciliations, accounting records, tax return support, filings, reports, and preliminary workpapers for review.
- Monitor client deadlines, recurring tasks, compliance requirements, annual reports, Act 60 decree-related matters, and other service commitments.
- Route client questions to the appropriate partner or team member when technical, legal, or tax guidance is required.
- Maintain organized physical and digital client files while documenting internal processes to support consistency and operational continuity.
- Assist the firm’s partners with administrative, accounting, tax, compliance, client service, and corporate-related matters as needed.
Qualifications:
- Bachelor’s degree in Accounting, Business Administration, Finance, or a related field preferred.
- 3 to 5 years of experience in bookkeeping, general accounting, client accounting services, CPA firm, professional services, real estate, tax, legal, or client administration environments.
- Practical experience with bookkeeping, bank reconciliations, accounting records, receipts, invoices, and recurring client documentation.
- Familiarity with Puerto Rico government agency processes, tax filings, annual reports, and compliance-related matters preferred.
- Working knowledge of QuickBooks Online preferred.
- Experience with Excel, Google Workspace, and digital work management tools; exposure to Expert Tax or Client Hub is a plus.
- Ability to communicate professionally in Spanish and English, both verbally and in writing.
- Strong organization, attention to detail, follow-through, judgment, and ability to manage deadlines and recurring tasks.
- Ability to identify when client questions should be routed to a CPA, attorney, partner, or other appropriate resource.
- Comfortable using digital tools, automation, and AI-supported tools to improve daily work efficiency.
Preferred Qualifications:
- Experience in a CPA firm, accounting firm, tax, legal, real estate, or professional services environment.
- Experience supporting real estate clients, Act 60 decree-related matters, Puerto Rico tax compliance, annual reports, or government agency processes.
- Experience preparing or supporting tax returns, filings, workpapers, reports, or client compliance documents.
- Experience managing multiple clients, recurring deadlines, and service follow-ups.
- Experience using task management, CRM, or client follow-up platforms.
