Administrative Assistant 30 Hours Weekly

Monday & Wednesday 11A-6:30P/Tuesday & Thursday 10:30A-6:30P/Friday- Off
Salary: $19.00-$21.00 per hour
MUST have:
- a high school diploma or equivalent.
- 1-2 years clerical/secretarial experience preferable in a hospital or health care setting.
Reports directly: Program Director
Manage daily operations of the programs front desk, including scheduling, billing, registering and phone.
Responsibilities:
- Performs secretarial duties necessary for administrative and/or clinical departments of the organization. Relieves department heads and other department supervisory personnel of routine and general office duties.
- Prepare and compose routine correspondence, memoranda, reports, etc.
- Receive and screen incoming calls, answering routine inquires and routing calls to appropriate individuals.
- Schedule and maintain calendar of appointments, meetings, and related arrangements.
- Open and distribute mail.
- Record, prepare, and distribute minutes of meetings.
- Work independently on special projects as assigned.
- Order supplies necessary for program.
- File documentation in the medical record.
- Enter patient registration and billing information into computer daily.
- Adheres to confidentiality of patients/families in CASTLE Outpatient Program.
Qualifications:
- High school graduate or equivalent.
- 1-2 years clerical/secretarial experience preferable in a hospital or health care setting.
- Excellent communication, organizational and strong interpersonal skills required.
- Must have excellent telephone skills, knowledge of mental health language (DSM) preferred.
- Knowledge of office procedures, equipment and systems including telephone, fax, copy machine, calculator and knowledge of work processing packages.
- Knowledge of budgets and budget preparation preferred.
