SUMMARY
This position provides administrative support to the Facilities Coach and department coaches, as required to ensure that the service requirements of the Coach and team members are met. Assists in coordinating department activities, facilitates effective communication among team members and applies and models the principles of Monrovia in all administrative duties.
DUTIES AND RESPONSIBILITIES

- Ensure that departmental information is updated in the appropriate system(s) accurately and in a timely manner.
- Work with Facility coaches to help the Facilities, using our new ClickUp work order program to manage work orders and assign them to available craftsmen and record time status.
- Coordinate with walk in craftsman request that has not been registered in ClickUp determine if ask needs to be sent into ClickUp.
- Assist the department with online and local parts ordering to include receiving and pick up.
- Communicate cost of parts for approval prior to ordering.
- Assist in managing assets in Oracle.
- Coordinate PM program and work orders.
- Complete cycle count inventory monthly items in Garage to support PM’S and most used mechanical items.
- Insure maintaining inventory stocked in commonly used parts.
- Assist preparing monthly Safety meeting topics, attend, and take minutes at department meetings and ensure their timely distribution.
- Provide prompt delivery of company and inter-department correspondence and facilitate communication among Coaches and Craftsmen.
- Promote the Monrovia brand internally and externally.
- Adhere to all safety policies and procedures.
- Respond to Coach and Craftsmen administrative and Facilities requests.
- Assist Team in obtaining necessary information and reports, and metrics, to perform their work at the highest level of quality and in the safest manner.
- Maintain first aid supplies to ensure that there are always adequate supplies provided.
- Performs other related duties to benefit the company's mission as assigned.
