Position Summary
The Senior Accounting Specialist plays a pivotal role in oversight and execution, leading the month-end and year-end financial closing processes specifically for multiple entities. This role ensures the absolute accuracy of financial statements and strict compliance with US GAAP across multiple legal entities. Utilizing SAP as the primary ERP system, the Senior Specialist reviews and manages bank transactions, Accounts Payable (AP), Accounts Receivable (AR), corporate expense workflows, and complex supply chain finance. Additionally, this position acts as a key contributor to external audit readiness and drives process optimization to enhance overall accounting efficiency.
Key Responsibilities
Accounts Payable & Receivable
- Invoice & PO Management: Process and manage incoming invoices, review for accuracy, route to appropriate departments, and coordinate cross-functional approval workflows.
- Payment Processing: Review weekly payment lists, update payment methods as needed, process ACH batches/online payments, and handle check printing.
- Accounts Receivable & Collections: Track and collect payments for weekly shipments, record accurate payment postings in SAP, and prepare weekly AR aging reports.
- Intercompany Settlements: Process the intercompany payments on a monthly basis across multiple entities.
Banking & Master Data Maintenance
- Daily Bank Monitoring: Monitor and update daily bank transactions across entities, ensuring all SAP postings are accurately reviewed and validated.
- Bank Reconciliation: Perform weekly and monthly bank reconciliations to ensure the accuracy of general ledger (GL) balances against bank records.
- Recurring Invoice & Tracker Management: Maintain and update the monthly recurring invoice master list; proactively track and verify the timely receipt of all recurring vendor invoices to prevent missing accruals during the closing process.
Supply Chain & Revenue Accounting
- Logistics & Inventory Tracking: Sync shipping data from logistics partners (e.g., CJ spreadsheets) with SAP to update tracking numbers, outbound data, and delivery dates.
- Sales Order Reconciliation: Reconcile inbound and outbound transactions by cross-checking SAP records with logistics spreadsheets; process outbound transactions for sales orders not yet delivered prior to month-end closing.
- Claims & Chargebacks: Communicate with logistics partners and franchisees to resolve inventory damage issues, file claims, and process monthly trucking fee chargebacks to franchisees.
- Rebate & Distributor Management: Reconcile external distributor data against internal data; generate monthly rebate reports, customer invoices, and follow up on discrepancy resolutions.
Corporate Expense Management
- Concur System Administration: Audit unassigned expenses within Concur, monitor corporate credit card transactions submitted by employees, and send monthly reminders to ensure compliance.
- Expense Reconciliation & GL Posting: Reconcile monthly Concur expense reports to corporate bank transactions, process necessary GL postings, and execute expense reclassifications or corporate chargebacks.
Tax, Closing & Audit Support
- Lead Financial Closings: Lead and manage the month-end financial closing processes for multiple entities, ensuring strict accuracy, timely execution, and compliance with US GAAP.
- Tax Compliance: Report and file monthly Sales and Use Taxes within required deadlines.
- Month-End Accruals & Reclassifications: Review invoice receipts to confirm proper accrual recording during closing periods. Perform routine reclassifications
- Audit Support: Support external audit processes by ensuring timely and accurate preparation and delivery of requested financial documentation.
Training & Employee Support
- System Onboarding: Conduct training for new corporate employees on internal purchasing workflows, PO creation, and Concur expense management guidelines
Job Requirements
- Education: Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
- Experience: More than 3 years of progressive experience in corporate accounting (hands-on experience with AP, AR, and month-end closing preferred).
Skills
- Proficiency in SAP ERP highly preferred
- Experience with Concur a plus.
- Advanced proficiency in Microsoft Excel (V-look up and Sum IF, etc).
Competencies:
- Strong multitasking capabilities to handle multiple entities simultaneously
- Solid understanding of franchise or supply-chain business models
- Strong written and verbal communication skills to interact with internal teams, franchisees, and vendors
Pay: $85,000.00 - $90,000.00 per year
