THE ROLE
This is a high-trust role for someone who wants to be in the center of how a growing premium brand actually operates.
You'll work directly with one of the senior executives — supporting the strategy and execution across customer accounts, vendor relationships, pricing, CRM operations, special projects, and the day-to-day rhythm of a growing business.
If you're the kind of person who anticipates needs before they're spoken, keeps three workstreams running cleanly at once, writes professional emails without typos, and gets a quiet satisfaction from a well-organized CRM — this role is built for you.
WHAT YOU'LL OWN
- Vet incoming customer inquiries — separate real opportunities from time-wasters
- Maintain CRM hygiene in HubSpot — every account, contact, and next step current
- Draft quotes, proposals, and follow-up communications for executive review and send
- Coordinate the Allora Advantage Trade Program — onboarding, follow-up, retention
- Maintain trackers, outreach lists, and project pipelines across multiple workstreams
- Manage calendar coordination, meeting prep, and executive scheduling
- Serve as the inside point of contact between customers, leadership, warehouse, and accounting
- Own special projects end-to-end
- Document processes and build workflows that make the business run smoother
WHO YOU ARE
- 3–7 years in operations, project coordination, account management, or a similar multi-hat role
- Industry-agnostic — distribution, real estate, professional services, hospitality, building products, or B2B services backgrounds all welcome
- Exceptional attention to detail — typos, missed follow-ups, and dropped balls are not your style
- Sharp writer — your emails are clean, professional, and on-brand
- Comfortable with CRM systems (HubSpot a plus, but any CRM experience translates fast)
- Strong with Excel/Google Sheets, Google Workspace, and calendar tools
- Self-directed — you anticipate what needs to happen and act without being told twice
- Calm under pressure — you can hold five priorities and not drop any
- Coachable — you take feedback well and apply it fast
- Discreet — you'll see pricing, customer data, vendor terms, and internal strategy
