A vibrant and nurturing small private school is seeking a dynamic and highly organized Administrative Assistant to join our dedicated team. Responsibilities
- Manage front desk operations, greeting visitors and handling inquiries with professionalism and warmth
- Operate phone system, directing calls accurately and courteously while providing excellent customer support
- Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents and records
- Perform data entry tasks using Microsoft Office Suite and Google Workspace to update student records, attendance logs, and administrative databases
- Coordinate calendar management for school events, meetings, and appointments with efficiency and attention to detail
- Support office management duties such as ordering supplies, proofreading communications, and managing correspondence
- Maintain confidentiality when handling sensitive student, family, staff, and school information.
- Draft, edit, and format emails, letters, flyers, reports, and other school-related documents.
- Input and update information in databases, spreadsheets, and internal systems.
- Maintain office equipment and coordinate with service providers when repairs or support are needed.
- Coordinate logistics for meetings and school events, including room setup, materials, catering, and communication.
- Make weekly website updates using WordPress, including posting announcements, event information, photos, and other important school content
- Support students when they have needs such as needing bandages, medication, classroom supplies, computer log-in support...
- Provide traffic and student support at drop off/pick up
- Assist with closing the school campus at the end of the school day
- Contribute to a positive office environment by fostering teamwork, collaboration, and professionalism.
- Support fundraisers, donation requests, event production day of support
- A Plus +: Create and upload social media content for Instagram and Facebook to highlight school events, student activities, and community updates.
- Design flyers and promotional materials for school events and share them on social media and the school website.
Skills
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Canva, and Google Workspace applications
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Demonstrated clerical experience including filing, data entry, proofreading, and document management
- Time management skills coupled with the ability to multitask efficiently while maintaining accuracy
- Exceptional phone etiquette and providing superior customer service
- Knowledge of office management procedures combined with administrative experience in an educational setting preferred
- Strong data entry skills with excellent attention to detail and accuracy
- Experience using WordPress or similar website platforms to make updates, post announcements, and manage website content is preferred
- Experience creating content for social media platforms such as Instagram and Facebook is preferred
- Basic graphic design skills and experience creating flyers, event materials, or digital content are a plus
- Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities effectively.
- Excellent verbal and written communication skills are required.
- Ability to maintain confidentiality, professionalism, and a positive attitude in a school office environment.
- Strong working memory and attention to detail are critical for this position.
- Bilingual abilities to communicate fluently in English and another language are highly advantageous
- Personal assistant experience or calendar management skills to coordinate schedules seamlessly
- A plus: Ability to take clear, high-quality photos for events, social media, websites, and promotional materials.
