Red Door Individualized Learning Program (ILP) is a New York State-approved preschool special education provider supporting children with disabilities through specialized instruction, related services, and inclusive preschool programming.
We are seeking a reliable, organized, and detail-oriented Administrative Assistant to support both our preschool special education (§4410) and general education preschool operations.
The Administrative Assistant supports the daily administrative operations of both the special education and general education preschool programs. This role assists with front desk operations, student records, enrollment, CPSE Portal documentation, attendance tracking, and family communication.
The ideal candidate is professional, organized, able to multitask, and comfortable working in a fast-paced educational environment.
- Greet and assist parents, visitors, students, and staff in a professional manner
- Answer and direct incoming phone calls and emails
- Maintain visitor logs and front desk organization
- Assist with filing, scanning, copying, and data entry
- Support scheduling, appointments, and administrative coordination
- Maintain confidentiality of student and staff information
- Support daily preschool operations and classroom administrative needs
- Assist with enrollment and registration processes for new and returning students
- Collect, organize, and maintain student records and required documentation
- Track missing paperwork and follow up with families as needed
- Create, organize, and archive student files by school year and classroom
- Maintain accurate electronic and physical student records
- Assist with CPSE Portal documentation and data entry
- Upload prescriptions, mandates, progress reports, and related student documents
- Finalize and distribute IEPs to teachers and providers
- Coordinate documentation with therapists, providers, evaluators, and school districts
- Support compliance with preschool special education requirements and timelines
- Maintain attendance records and assist with attendance tracking
- Support documentation and administrative compliance requirements
- Assist management with preparation for audits, inspections, and program reviews
- Maintain organized records and documentation for operational compliance
- Bilingual in Spanish preferred, but not required
- High school diploma required; Associate’s degree preferred
- Administrative experience preferred, but willing to train the right candidate
- Strong organizational, communication, and customer service skills
- Strong computer skills, including Microsoft Office and Google Suite
- Ability to multitask and manage deadlines in a fast-paced environment
- Experience in education, childcare, or special education preferred
- Familiarity with CPSE Portal, Procare, or preschool special education is a plus
Job Type: Full-time
Pay: $21.00 – $23.00 per hour
Expected Hours: 35–40 hours per week
Schedule: Monday–Friday, 7-hour shift
Work Location: In person
