OPERATIONS MANAGER — PLUMBING · ELECTRICAL · HVAC COMPANY
OAKLAND/Genesee County, MI (HYBRID/In-Office) | Full-Time | Direct Experience Required
Read this before you apply: if you have never run the back office of a trades, home-services, or construction company, this is not your job. If you HAVE — and you're tired of patching up operations for owners who won't invest in them — keep reading. This seat was built for you.
We run this company to private-equity standards. Books close on time. Every job is costed. Every process is written down. The company runs whether ownership is in the building or not. Your job is to build and run that machine.
WHO WE ARE
Family-owned real estate and construction operation — buying, renovating, and building in Genesee County since 2003. Over 1,000 projects, a portfolio we still own and maintain, and in-house plumbing, electrical, and HVAC crews now serving customers across Genesee and Oakland County. The field side runs hard. We're hiring the operator who makes the business side run harder.
THE STANDARD YOU'LL BE HELD TO
- Invoices out same-day on job close. DSO under 30 days.
- Books closed by the 5th — reconciled QuickBooks, P&L by trade, variance notes.
- Every job costed — labor, materials, permits. We know margin by job, by trade, by tech.
- A one-page scorecard on ownership's desk every Monday: revenue by trade, gross margin %, tech utilization, average ticket, callback rate, AR aging.
- Every recurring task has a written SOP. No process lives in one person's head — including yours.
- 13-week rolling cash flow forecast, updated weekly.
WHAT YOU'LL OWN
- FINANCIAL OPS — invoicing, AR and collections, AP, job costing, month-end close, commission calculations, payroll support
- CUSTOMER & REVENUE OPS — the full work order lifecycle: call → scheduled → dispatched → completed → invoiced → COLLECTED. Nothing dies in between. CRM (GoHighLevel) kept clean, estimate follow-up enforced, warranty/callback log with root cause, review request on every completed job.
- COMPLIANCE & RISK — LARA licenses and permits pulled AND closed out with expiration alerts, insurance/COIs/W-9s current on every sub, employee files inspection-ready, fleet and equipment logs.
- VENDORS & PROCUREMENT — supplier accounts, PO discipline, truck stock counts on schedule, price book updated within the week when material costs move.
- PEOPLE OPS — onboarding/offboarding checklists executed without being asked, timekeeping, certification renewals, hiring pipeline admin.
- THE SOP LIBRARY — you take what's in our heads and turn it into systems anyone can run. Quarterly audits keep it current.
- DILIGENCE-READY RECORDS — contracts, licenses, insurance, financials organized so a banker, buyer, or auditor could walk in Monday and find everything by Tuesday.
WHAT WINNING LOOKS LIKE
90 days in: 100% same-day invoicing, the Monday scorecard is live and accurate, and the top 20 recurring tasks have written SOPs. 12 months in: ownership leaves for two weeks and nothing breaks, nothing slips, and nobody calls — because the machine you built caught it first. That is the test. That is the job.
MUST HAVE — NO EXCEPTIONS
- 3+ years running operations or the back office for a service business — trades, home services, construction, or property management strongly preferred. Plumbing, electrical, or HVAC specifically? Go to the top of the pile.
- QuickBooks fluency — invoicing, AR, reconciliation. Job costing experience is a major plus.
- You have BUILT SOPs and processes from scratch — and you can show us one.
- You have personally chased AR and closed a month-end. Not watched it happen. Done it.
- Ruthless follow-through, and professional with an angry customer at 4:55 on a Friday.
NICE TO HAVE
GoHighLevel or any CRM · ServiceTitan / Housecall Pro / Jobber · dispatch and scheduling · AppFolio or property management · payroll or HR admin · EOS/Traction familiarity
PAY & PATH
- [$65,000–$90,000/yr] based on direct experience — reviewed at 90 days against the systems you've actually built, not time served
- Full-time, in-office, year-round — we own the projects, so the work never dries up
- This seat becomes Director of Operations as we add crews, trades, and territories
- Direct line to ownership — decisions in hours, not weeks
THIS JOB IS FOR YOU IF...
- You've cleaned up a messy trades office before — and part of you loved it
- Checklists, scorecards, and clean books are how you keep score
- You'd rather PREVENT ten fires than get credit for fighting one
THIS JOB IS NOT FOR YOU IF...
- This would be your FIRST operations role — it won't work, for either of us
- You need to be told what to do next every hour
- You confuse being busy with being organized
HOW TO APPLY
Apply on Indeed with your resume AND answer these three questions in your application:
1. Which trades or home-services company did you run operations for, and how many field techs/crews did it have?
2. The messiest operation you've ever cleaned up — one sentence.
3. One SOP or system you built that outlived you.
Put the word "SCORECARD" at the top of your application so we know you read this — most people won't. For this seat, that's not a gimmick. It's the first screen. Finalists do a PAID working session at our office — a real inbox, a real schedule conflict, a real mess. If you're the operator we're describing, you'll enjoy it.
