We are seeking a friendly, organized, and service-oriented POA Administrative Assistant to support our Property Owners Association (POA). This is much more than a traditional administrative role, you'll be a trusted resource for our residents, work closely with board members and leadership, and help ensure the smooth operation of our vibrant residential community. This position provides administrative support to the POA Manager while serving as an important resource for our residents and occasionally supporting the Director of Facilities & POA as needed.
As our POA Administrative Assistant, you will:
- Welcome and assist homeowners and residents with professionalism and exceptional customer service.
- Coordinate POA Board meetings, including preparing meeting materials, recording minutes, and distributing board communications.
- Process new resident information, membership applications, approvals, and mailbox setup.
- Maintain resident files, architectural review records, and other confidential documents.
- Coordinate Residential Services requests with staff and preferred vendors.
- Answer phone and email inquiries while providing timely follow-up.
- Prepare correspondence and communications for the POA.
- Support the POA Manager with a variety of administrative projects and day-to-day operations.
- Assist with reception duties for occasional coverage, as needed.

- A strong communicator who enjoys working with residents, board members, vendors, and fellow team members.
- Proficient in Microsoft Office, particularly Excel.
- Experienced in administrative support and office coordination (property management, HOA, or private club experience is a plus but not required).
Qualifications
- High school diploma or GED required.
- Administrative or related office experience required.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Ability to maintain confidentiality and professionalism.
