Position Purpose
The Administrative Assistant supports the mission and ministries of St. John Community Church by providing administrative excellence, clear communication, and a warm, hospitable presence. This position ensures that church operations, worship support, communication, and congregational care are organized with excellence and carried out in a spirit of service.
Position Classification
· Status: Part-Time Ministry Support Staff (30 hours a week)
· Schedule: Monday – Friday, 9:00 AM – 3:30 PM (30 min lunch)
· Compensation: $20-$25 an hour (Compensation based on experience)

· The Administrative Assistant is expected to actively support and participate in the mission, worship life, and ministries of St. John Community Church.
Core Responsibilities
1. Worship & Media Support
· Participate in weekly worship planning and support.
· Collaborate on the worship services program in Planning Center.
· Prepare worship announcement slides and service materials.
· Compile and report worship attendance.
· Coordinate with the Tech Team for media needs.
· Print Orders of Worship.
· Edit and upload sermon videos to digital platforms.
2. Communications & Digital Media
· Update the church website as needed.
· Distribute weekly email newsletters (Friday email, spiritual pulse, anointing Tuesday) and printed communications.
· Keep the church database and contact records updated.
· Coordinate messaging for the outdoor sign.
· Coordinate with the Media Coordinator to publish church graphics, guides, and print media.
· Complete and update the annual Church Guidebook/Directory.
· Coordinate scheduled meetings to ensure the participation of all attendees.
3. Congregational Care Support
· Maintain and distribute the Prayer List.
· Communicate with families experiencing illness, loss, or special needs.
· Coordinate birth, wedding, and death announcements.
· Manage the flower calendar and order arrangements as needed.
· Send grief support resources (e.g., grief books/cards) to families.
· Assist ministry staff in maintaining a caring and connected church environment.
4. Administrative & Office Management
· Maintain the church master calendar and room reservations.
· Update and manage covenant partners’ roster (members) and mailing lists.
· Order and organize office supplies.
· Oversee registrations for events, retreats, and special programs.
· Distribute daily incoming mail and manage outgoing mail.
· Coordinate birthday and appreciation cards for staff and key volunteers.
· Send reminders to ministry teams and support lay leaders as needed.
· Provide administrative support to the Lead Pastor by scheduling meetings, helping create agendas, and keeping the Lead Pastor’s calendar in sync with the church calendar and events.
· Provide administrative support to the ministry staff and church committees as needed.
· Support the Director of Finances with support material for a successful Financial Campaign.
· Maintain organized office systems and assist with general day-to-day office operations as needed.

· Basic proficiency in digital communication tools, website updates, and media platforms preferred.
· Willing to learn church-specific software and systems.
