The Office Administrator is responsible for the overall management and smooth operation of the practice, including staff supervision, financial management, patient satisfaction, and compliance with regulatory requirements. This role requires strong leadership, organizational, and communication skills, along with a commitment to fostering a positive and professional work environment.
Office Operations:
Oversee daily administrative functions of the practice.
Develop and implement office policies, procedures, and workflow improvements.
Ensure the office environment is organized, professional, and patient-friendly.
Staff Management:
Supervise front and back office staff.
Coordinate staff schedules and workflow to ensure adequate coverage.
Support staff development, training, and performance evaluations.
Financial and Administrative Oversight:
Monitor accounts receivable, billing, and payroll processes.
Manage vendor relationships and office supply inventory.
Patient Experience:
Compliance and Regulatory Management:
Ensure the practice complies with HIPAA, OSHA, and other relevant regulations.
Assist in preparing for audits and inspections.
Coordination with Providers:
Support providers with scheduling, documentation, and communication needs.
Facilitate effective communication between clinical and administrative teams.
3–5 years of experience in healthcare office management, preferably in OB/GYN or women’s health.
Strong leadership and team management skills.
Knowledge of medical billing, insurance claims, and electronic health records (EHR) systems.
Excellent organizational, problem-solving, and multitasking abilities.
Outstanding interpersonal and communication skills.
Proficiency in Microsoft Office and practice management software.
Knowledge of HIPAA and healthcare regulatory requirements.
