Job Overview
Ai Air Conditioning Corp. is seeking a detail-oriented and organized Account Associate to support our sales and customer service operations. This position works closely with the sales team and customers to ensure orders are processed accurately and delivered on time.
This is not a direct sales role. Instead, the Account Associate serves as a key point of contact for customers regarding order status, shipping updates, inventory availability, and general account support. The ideal candidate is proactive, customer-focused, and capable of managing multiple tasks in a fast-paced wholesale HVAC environment.
Responsibilities
- Process sales orders and purchase orders accurately and efficiently
- Track customer purchase orders from entry through delivery
- Monitor shipping and delivery status and provide updates to customers
- Coordinate with warehouse, logistics, and sales teams to ensure timely order fulfillment
- Assist customers with order inquiries and account-related requests
- Check inventory availability and provide stock information when requested
- Follow up on backorders, shipment delays, and order discrepancies
- Maintain accurate customer and order records in company systems
- Support the sales team with administrative and operational tasks
- Help ensure a positive customer experience throughout the order process
Qualifications
- Previous experience in customer service, account coordination, sales support, order processing, or related administrative roles
- Wholesale distribution experience preferred
- HVAC, electrical supply, plumbing supply, or building materials industry experience is a plus
- Strong attention to detail and organizational skills
- Excellent communication and customer service skills
- Ability to manage multiple priorities and meet deadlines
- Proficiency with Microsoft Office, including Excel and Outlook
- Comfortable working in a fast-paced office environment
- Fluent in English (spoken and written)
