Position Summary
The Facilities Manager is responsible for the overall maintenance, operation, appearance, and safety of Hill Hall Hotel and associated properties. This role ensures that all building systems, guest areas, back-of-house spaces, grounds, and equipment are maintained to a high standard while supporting an exceptional guest experience. The Facilities Manager works closely with the General Manager, Front Desk, Housekeeping, and outside contractors to proactively maintain the property, prevent issues before they occur, and respond quickly when they do.
Key Responsibilities
Building & Systems Knowledge
- Develop a thorough understanding of all hotel buildings, layouts, and infrastructure.
- Proficient with all major building systems, including: fire alarm and sprinkler systems, water, gas, and electrical distribution, including shutoff locations.
- Proficient with HVAC systems
- Emergency generators
- Mechanical rooms and utility spaces
- Maintain documentation of building systems and update records as changes occur.
Preventative Maintenance
- Develop, maintain, and continually improve a preventative maintenance schedule for all buildings and equipment.
- Coordinate and perform recurring maintenance tasks, including but not limited to: Changing HVAC and water filters, cleaning dryer vents, servicing mechanical equipment, testing life-safety equipment, etc.
- Seasonal inspections
- Routine repairs
- Keep detailed maintenance records and ensure work is completed on schedule.
Inventory & Organization
- Create and maintain a digital inventory of maintenance supplies, equipment, and replacement parts.
- Track both: High-use consumables (paint, light bulbs, faucet components, filters, hardware, etc.) Low-use items (tools, spare fixtures, furniture, appliances, specialty parts, etc.)
- Organize storage areas so materials are easy to locate, protected from damage, and regularly inventoried.
- Recommend purchasing needs before supplies become depleted.
Work Order & Technology Management
- Utilize hotel management and maintenance software to receive, prioritize, schedule, document, and complete maintenance requests.
- Use StayNTouch and the hotel's maintenance management platform to communicate with other departments and track work orders.
- Ensure tasks are documented and completed in a timely manner.
Interdepartmental Communication
- Maintain regular communication with:
- General Manager
- Front Desk
- Housekeeping
- Identify maintenance concerns before they impact guests.
- Coordinate room maintenance around occupancy to minimize guest disruption.
Grounds & Exterior Maintenance
- Coordinate contracted landscaping and snow removal services with Aspen and monitor contractor performance.
- Complete or arrange additional grounds maintenance as needed, including:
- Sweeping sidewalks and entryways
- Keeping mulch beds neat
- Watering landscaping as needed
- Pruning dead or damaged vegetation
- Snow and ice removal when necessary
- Maintain attractive, safe, and welcoming outdoor spaces year-round.
Exterior Building Care
- Perform or coordinate routine exterior maintenance, including:
- Touch-up painting and staining
- Pressure washing
- Window cleaning
- Maintain parking lot; trash pick-up, cleaning of dumpster area, etc.
- Exterior inspections for damage or needed repairs
Apartment Building Maintenance
- Maintain the associated apartment building(s), including routine inspections, preventative maintenance, repairs, and turnover tasks between tenants.
- Coordinate maintenance requests while ensuring safety, cleanliness, and proper building operation.
Contractor Management
- Coordinate with outside vendors and service providers.
- Obtain estimates, insurance and any necessary contracts.
- Monitor quality of work and speak up when necessary.
- Verify contractors complete work according to hotel standards.
Safety & Compliance
- Help ensure compliance with applicable building codes, OSHA requirements, fire safety standards, and company policies.
- Maintain safe working conditions and identify potential hazards before they become problems.
- Participate in emergency response procedures as needed.
Qualifications
- Experience in facilities maintenance, hotel maintenance, property management, or a related field preferred.
- Working knowledge of plumbing, electrical, HVAC, carpentry, and general building maintenance.
- Strong organizational and problem-solving skills.
- Comfortable using computers, mobile devices, and maintenance management software.
- Ability to prioritize multiple projects and respond to emergencies.
- Ability to work independently while collaborating effectively with hotel/apartment staff.
- Valid driver's license and reliable transportation.
Other Requirements
- Ability to lift 50 pounds.
- Ability to climb ladders, work in mechanical spaces, and perform physically demanding maintenance tasks.
- Ability to work indoors and outdoors in varying weather conditions.
- Occasional evening, weekend, or emergency call-in work required.
Pay: $50,000.00 - $60,000.00 per year
