Duties
- Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette.
- Operate multi-line phone systems to handle incoming calls efficiently and route messages accurately.
- Perform data entry tasks using tools like QuickBooks, Microsoft Office, and Google Workspace to maintain accurate records.
- Assist with filing, proofreading documents, and organizing office supplies to support daily administrative functions.
- Support calendar management and scheduling for meetings, appointments, and events with meticulous attention to detail.
- Provide customer support by addressing inquiries promptly and professionally, ensuring a positive experience for all stakeholders.
- Conduct basic bookkeeping tasks such as invoicing and expense tracking to assist with office financial management.
Experience
- Previous office management or administrative experience in a fast-paced environment is highly preferred.
- Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Experience with clerical duties such as filing, data entry, proofreading, and document organization.
- Strong organizational skills coupled with excellent time management abilities to prioritize tasks effectively.
- Bilingual abilities are a plus to support diverse client interactions and team communication.
- Familiarity with office equipment including multi-line phones, fax machines, printers, and basic bookkeeping software like QuickBooks.
