Position Overview
We are seeking a highly accurate, organized, and motivated Invoicing Specialist to join our finance and operations support team. This critical role ensures timely, precise billing for our service offerings while delivering excellent support to customers, sales representatives, and vendors.
The ideal candidate combines excellent math skills, extreme attention to detail, and strong computer/keypad proficiency with the ability to quickly master customized billing and accounting programs. You will excel at working independently while contributing as a collaborative team player, managing multiple priorities and complex scenarios through strong organizational and puzzle-solving abilities. Clear, professional communication is essential for resolving questions and maintaining positive relationships across internal and external stakeholders.

Key Responsibilities
- Prepare, review, and issue accurate customer invoices based on service orders, contracts, supporting documentation (e.g., tickets, manifests, or delivery records), and agreed pricing.
- Verify all billing elements—including quantities, rates, fees, taxes, and totals—using strong mathematical skills and a commitment to 100% accuracy.
- Enter and manage high volumes of invoice data in customized accounting/billing software and related systems with speed and precision, leveraging excellent computer and 10-key keypad skills.
- Research, analyze, and resolve billing discrepancies, exceptions, and unique or complex scenarios through analytical “puzzle-solving” — identifying root causes and implementing corrections efficiently.
- Coordinate closely with Sales Representatives to clarify order details, pricing, and customer-specific requirements before finalizing invoices.
- Communicate professionally and effectively with Customers and Vendors regarding invoice questions, adjustments, credits and related matters.
- Maintain well-organized records of all invoices, supporting documents, communications, and resolutions to support audits, reporting, and accounts payable processes.
- Identify opportunities to improve billing accuracy, efficiency, and customer experience; contribute ideas for process improvements.
- Handle confidential financial and customer information with integrity and discretion at all times.
Qualifications
Required:
- High school diploma or GED.
- 1–3+ years of experience in invoicing, billing, accounts receivable, data entry, or a similar detail-intensive financial/administrative role (experience in service-based, logistics, transportation, or environmental services industries is a plus).
- Excellent math skills with proven accuracy in calculations, verification, and financial data handling.
- Extremely detail-oriented with a strong commitment to precision and quality.
- Proficient computer and keypad (10-key) skills; demonstrated ability to quickly learn and become highly effective with customized or proprietary software programs and standard tools (Excel, Outlook, etc.).
- Proven ability to work independently with minimal supervision while functioning effectively as a collaborative team player.
- Strong organizational and multi-tasking skills with the capacity to manage multiple priorities, deadlines, accounts, and varied billing scenarios simultaneously.
- Aptitude for puzzle solving and analytical problem resolution — skilled at researching information from multiple sources to identify and correct issues.
- Excellent communication skills (written and verbal) necessary for professional, clear interactions with Customers, Sales Representatives, Vendors, and internal team members.
- Ability to thrive in a high-volume, deadline-driven environment while maintaining accuracy.
Preferred:
- Familiarity with contract-based or variable pricing billing common in service or logistics environments.
- Basic knowledge of accounts payable processes for accuracy.
- Prior exposure to waste management, environmental services, or transportation billing is highly desirable.
