Administrative Assistant:
The Administrative Assistant has full accountability for processing completed work orders for invoicing to customers. He/She is responsible for managing several queues to efficiently resolve work order disputes and complete the order cycle to invoicing. This position requires excellent organizational skills, strong communication skills, and the ability to work effectively under pressure.
PRINCIPAL RESPONSIBILITIES AND DUTIES:
1. Ensures daily review of completed queue for work orders processed and ready to invoice (RTI).
2. Processes work orders in dedicated ERP system for billing and invoicing.
3. Communicates effectively with service professionals regarding work order notes and discrepancies
4. Manages the flow of work orders between various queues
5. Keeps records of customer interactions or transactions, recording details of inquiries, complaints, or comments, as well as actions taken
6. Confers with customers to clarify issues, identify underlying concerns, and develop an understanding of their respective needs and interests
7. Collaborates with other D&H departments to ensure timely billing and invoicing of service work orders
8. Addresses escalated customer concerns and provides resolutions
9. Refers unresolved customer grievances to designated departments for further investigation.
10. Provides appropriate reporting to management as required
11. Performs all other duties as assigned.
MINIMUM QUALIFICATIONS
Basic Knowledge & Competencies:

- Strong attention to details and high level of accuracy while maintaining short deadlines with data
- Compiling, coding, categorizing, calculating, tabulating, auditing, or verifying information or data.
- Analyzing information and evaluating results to create solutions and solve problems
- Experience with Microsoft Outlook, PowerPoint, Excel, Word
PREVIOUS EXPERIENCE/EDUCATION:
- High School diploma or equivalent
- 1-3 years of billing, Dispatching, customer service, or related experience
PHYSICAL REQUIREMENTS
- Frequent use of hands to manipulate the keyboard, telephone, files and other equipment
- Ability to lift up to 15 pounds occasionally
