The Administrative Assistant provides direct support to the Human Resources and Payroll/Time & Labor Departments. That support includes data entry, report generation, report, and data validation, tracking and verification of hours worked as it applies to Paid Time Off and Sick Leave calculations. Tracking of hours worked applies to Union (CBA) benefits.
This position may require daily project interface with Operation Directors, Program Managers and/or Site Leads. The position requires the incumbent to have attention to detail, good database management and excel software skills.
· Issue offer letters; validate rate of pay and H&W benefits, validate that documents are received for i9 processing. Validate USA citizenship.
· Send welcome emails to new hires.
· Schedule and coordinate Drug Testing Requirements
· Assist in New Program Phase-in
· Maintain Employee PHF
· Ensure Company Compliance – HR Arena
· Open enrollment
Payroll Time & Labor Tasks
· Validate/Review Time & Attendance entries.
· Oversee PTO and Sick request and/or accruals.
· Assist in Bi-Weekly Payroll processing.
· Maintain payroll reimbursements for employees per pay period.
· Review and process travel expense reports and reimbursements.
· Set up States/SUI/Withholding accounts/registration in states.
· Maintain Annual State Registrations and/or Reporting requirements.
QUALIFICATIONS
Education and Experience
· 2-year associate’s degree (Business preferred) or 4 years’ industry experience with a focus on Human Resources and Payroll processing
Skills, Knowledge, and Abilities
· Will use own judgment in choosing the proper procedure for each task.
· Excellent communication skills
· Be a U.S. Citizen
· Superior customer service focus
· Computer experience (Word, Power Point, Excel)
· Prior experience working with/for the US Military, a plus.
· Ability to speak read writes and understand English.
