Job Overview
We are seeking a dependable and detail-oriented Administrative Assistant to provide support across several educational and administrative functions. This part-time position assists with the day-to-day coordination of healthcare operations and administrative processes within our psychiatric teaching hospital. The role promotes organization, timely follow-through, and smooth operations while maintaining professionalism and confidentiality in a healthcare environment.
Key Responsibilities
- Provide administrative support to hospital leadership and departmental staff across educational and administrative functions
- Answer and direct phone calls in a professional and courteous manner
- Prepare reports, correspondence, meeting materials, and internal documentation as needed
- Maintain organized electronic and paper filing systems to ensure accurate and accessible records
- Assist with scheduling meetings, coordinating calendars, and supporting educational and committee activities
- Perform data entry and maintain accurate, up-to-date records and tracking systems
- Support onboarding and documentation processes for trainees and rotating students as needed
- Assist with special projects and manage multiple administrative tasks while meeting deadlines
- Maintain strict confidentiality in accordance with HIPAA and hospital policies
- Order and maintain office supplies and assist with general office organization
Minimum Requirements
- High school diploma or equivalent required
- Prior administrative or office experience preferred (healthcare experience a plus)
- Strong organizational skills with the ability to manage multiple tasks and deadlines
- Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook
- Excellent verbal and written communication skills
- Ability to lift and carry up to 25 pounds as needed
- Professional demeanor and strong attention to detail
- Ability to handle sensitive information with discretion
- Ability to work occasional weekends based on hospital needs
