Financial Aid Associate Director

The Financial Aid Associate Director provides strategic leadership and operational oversight for the administration of federal, state, and institutional financial aid programs. This position is responsible for managing the packaging and awarding of financial aid, ensuring accurate and timely processing of aid applications, and maintaining compliance with all applicable federal and state laws, regulations, and institutional policies. The Associate Director oversees the development, implementation, and monitoring of office procedures and internal controls; coordinates the preparation and submission of required federal, state, donor, and institutional reports; and supports the delivery of comprehensive financial aid information through outreach initiatives for prospective and current students, parents, and campus stakeholders.
The Associate Director directs the administration and processing of all federal loan programs and serves as the primary authority for student and parent applicant data management. Responsibilities include overseeing the import and export of FAFSA data used to determine eligibility for federal, state, and institutional financial aid programs; managing applicant data corrections resulting from verification activities; coordinating Pell Grant payment reporting to support institutional reimbursement from the U.S. Department of Education; and ensuring the accurate processing, origination, disbursement, reconciliation, and maintenance of all Federal Direct Loan records. This role develops and monitors operational procedures to ensure data integrity, regulatory compliance, and efficient service delivery while mitigating institutional risk.
Serving as the System Administrator within the Financial Aid Office, the Associate Director manages the financial aid functionality within the Banner student information system and oversees the implementation of system updates, regulatory changes, and enhancements issued by Ellucian, the State of Indiana, and the U.S. Department of Education. The position evaluates business processes, develops system solutions to improve operational effectiveness, maintains data accuracy and security, and serves as a key liaison between Financial Aid, Information Technology, and external agencies regarding system-related initiatives and compliance requirements.
The Associate Director provides advanced financial aid counseling, guidance, and customer service to students, parents, faculty, staff, and external constituents. The position interprets complex federal and state regulations, resolves escalated issues, supports policy development and staff training, and assists in the strategic planning and continuous improvement of financial aid operations. Through leadership, technical expertise, and a commitment to student success, the Associate Director helps ensure equitable access to financial resources while supporting institutional enrollment and retention goals.
Qualified candidates will have a bachelor’s degree in a related field and three years of financial aid office experience. Knowledge of federal/state institutional financial aid regulations and ability to interpret complex regulations and procedures necessary. Effective customer service orientation/communications skills are necessary to present information in one-on-one and small group situations to students and parents regarding financial awarding. Must have knowledge of computer hardware/software and ability to work with automated systems to facilitate automated financial aid processes.
Preferred candidates will have five years of relevant work experience. Knowledge of the Banner software system strongly preferred. Analytical skills to accomplish complex reconciliation processes strongly desired. Excellent organizational skills to facilitate receipt and processing of vast amounts of data and documentation items are strongly preferred.

Salary range is $60,000 - $75,000. Salary is competitive. A higher salary may be negotiated based on experience and qualifications.
