Job Summary:
South Star JCB is seeking an experienced Service Advisor / Warranty Administrator to join our team in the DFW area. This role is responsible for managing warranty claims and supporting daily service operations by coordinating customer repairs, work orders, quotes, and communication.
The ideal candidate will have strong experience in the service department with experience in both warranty processing within the heavy equipment or diesel industry and Service Advisor role to support customer work, scheduling, and service coordination as needed.
Key Responsibilities:
- Prepare, submit, and manage warranty claims in accordance with manufacturer guidelines
- Review service work orders to ensure accurate and complete warranty documentation
- Monitor claim status, approvals, and denials; resubmit or appeal when applicable
- Track and manage return of failed warranty parts and required documentation
- Maintain control of warranty expenses and ensure timely claim processing
- Communicate with technicians and service team to ensure proper coding and story writing for claims
- Maintain up-to-date knowledge of manufacturer warranty policies and procedures
- Serve as a point of contact for customers regarding service scheduling, repair updates, and job status
- Open, manage, and close work orders accurately and efficiently
- Provide estimates/quotes for customer-pay repairs and obtain approvals
- Coordinate with parts and service departments to ensure timely job completion
- Monitor work in progress to meet deadlines, control costs, and ensure quality of service
- Maintain accurate documentation, labor entries, and service records
- Assist with invoicing, purchase orders, and customer billing as needed
Qualifications:
- 2+ years of warranty administration experience in heavy equipment, diesel, or related industry preferred
- Service Advisor or service coordination experience strongly preferred
- Strong understanding of warranty claim processes and manufacturer requirements
- Excellent attention to detail and organizational skills
- Strong communication and customer service skills
- Proficient with computers, service systems, and Microsoft Office
- Ability to multitask and prioritize in a fast-paced environment
