Job Overview
We are seeking a friendly, organized, and customer-focused Administrative Assistant to join our team. This role serves as an important point of contact for customers, vendors, and visitors while supporting day-to-day administrative operations. The ideal candidate will possess excellent communication skills, strong attention to detail, and a professional, service-oriented attitude.
Work Hours: Mornings, 9:00 AM – 12:00 PM, Monday–Friday
Responsibilities
- Serve as a point of contact for customers, visitors, and vendors, providing professional and courteous assistance in person, by phone, and via email
- Manage front desk operations and create a welcoming, professional environment for all visitors
- Answer and direct incoming calls using a multi-line phone system while maintaining excellent phone etiquette
- Respond to customer inquiries promptly and accurately, ensuring a high level of customer satisfaction
- Process customer orders, requests, and administrative documentation with accuracy and attention to detail
- Perform data entry and maintain organized records using Microsoft Office, Google Workspace, ERPNext, and other business software
- Prepare correspondence, process incoming and outgoing email, and provide general clerical support
- Assist with customer account management activities, including invoicing support and basic bookkeeping tasks
- Coordinate communication between customers and internal departments to ensure timely resolution of inquiries
- Support office operations by maintaining organized files, records, and administrative workflows
- Help maintain a clean, organized, and professional reception and office environment
Qualifications
- Previous administrative, customer service, receptionist, or office support experience preferred
- Excellent interpersonal and communication skills with a strong customer service orientation
- Professional phone etiquette and experience with multi-line phone systems
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer skills, including accurate data entry and document management
- Exceptional organizational skills and attention to detail
- Strong time management skills
- Experience with clerical and administrative functions, including document preparation and proofreading
