Position Summary
Caring Hearts Behavioral Health is seeking a compassionate, dependable, and organized Mental Health Technician / Front Desk Coordinator to support both the administrative and clinical operations of our behavioral health practice. The Mental health technician is responsible for providing exceptional customer service, assisting patients throughout their visit, supporting providers with clinical tasks, and maintaining a safe and therapeutic environment.
Essential Responsibilities
Front Desk & Administrative Duties
- Greet patients and visitors in a professional, friendly, and compassionate manner.
- Answer incoming phone calls and direct calls appropriately.
- Schedule, reschedule, and confirm patient appointments.
- Register new patients and update demographic and insurance information.
- Verify insurance eligibility and obtain authorizations when required.
- Collect co-payments, deductibles, and outstanding balances.
- Scan and upload patient documents into the electronic medical record (EMR).
- Maintain accurate patient records while ensuring HIPAA compliance.
- Process incoming faxes, referrals, and medical records requests.
- Maintain an organized, clean, and welcoming reception area.
- Coordinate communication between providers, patients, pharmacies, and referral sources.
Clinical Mental Health Technician Duties
- Escort patients to examination or counseling rooms.
- Obtain and document vital signs, including blood pressure, pulse, temperature, height, weight, oxygen saturation, and BMI.
- Perform urine drug screenings, breath alcohol testing, and specimen collection according to office policies.
- Document patient observations and report behavioral or emotional changes to the licensed provider immediately.
- Monitor patients in the waiting area or treatment areas when appropriate.
- Assist providers during patient visits as directed.
- Prepare examination rooms and maintain clinical supplies.
- Clean and disinfect patient care areas following infection control protocols.
- Assist with medication inventory and documentation as assigned.
- Support crisis intervention procedures by notifying licensed staff immediately when needed.
- Ensure patient safety and maintain a calm, therapeutic environment at all times.
Additional Responsibilities
- Participate in daily morning huddles and staff meetings.
- Assist with quality improvement initiatives.
- Maintain confidentiality in accordance with HIPAA regulations.
- Complete required documentation accurately and promptly.
- Follow OSHA, infection control, and behavioral health safety guidelines.
- Perform other duties as assigned by management.
Qualifications
- High school diploma or GED required.
- Mental Health Technician certification, Medical Assistant certification, or equivalent experience preferred.
- Minimum of one year of experience in behavioral health, psychiatry, addiction medicine, or a medical office preferred.
- Experience with electronic medical records (eClinicalWorks and/or Sunwave preferred).
- Knowledge of insurance verification and prior authorizations preferred.
- Current CPR certification or willingness to obtain upon hire.
- Bilingual in English and Spanish preferred.
- Excellent communication, organizational, and customer service skills.
- Ability to multitask in a fast-paced environment while maintaining professionalism and compassion.
