The Role
We’re hiring a Patient Care Coordinator (Front Desk Associate) to be the face, voice, and energy of our clinic. You’ll be the first person patients see, the friendly voice on the phone, and a trusted guide through their wellness journey. What You’ll Do
Deliver an exceptional patient experience
- Greet every patient with warmth and genuine energy; offer refreshments and make them glad they chose 4Ever Young
- Check patients in and out using established procedures, maintaining accurate records and consent forms
- Keep the lobby, treatment rooms, IV lounge, and medicine room to brand standards (cleanliness, scent, music, lighting, stocking)
- Protect patient privacy and follow HIPAA and medical compliance guidelines at all times
Run the front desk like a pro
- Answer a multi-line phone system using proper phone procedures
- Manage the appointment calendar and coordinate phone coverage when away from the desk
- Room patients, give them a brief overview of their visit, and answer questions before they see the provider
Convert leads and drive growth
- Follow up on new leads promptly and consistently
- Hit weekly and monthly goals for lead conversion and appointment scheduling
- Educate patients on promotions, memberships, and service packages that fit their goals
- Be a genuine ambassador for the treatments — find what you love and share it
Create and manage social media content
- Post creative, on-brand content to our social channels on a regular basis
- Help plan and promote community events, open houses, and in-clinic promotions
- Track event details, coordinate with vendors, and help staff events as needed
Support daily operations
- Help order and stock office supplies, medical supplies, and IV vitamins
- Stay current on all 4Ever Young services, products, and industry trends
- Jump in wherever needed with a positive attitude — we’re a team
What You Bring
Required
- Proficient English speaker with excellent verbal and written communication
- Prior front desk or patient care experience in a medical spa, wellness clinic, HRT clinic, or similar medical setting
- Comfortable handling a multi-line phone system and managing a busy front desk
- Experience contacting leads, scheduling appointments, and checking patients in and out
- A genuine commitment to constant learning and skill-building
- Professional, polished, and punctual
Preferred
- Bilingual (Spanish)
- Active on social media with a strong personal presence
- Experience creating organic social media content for a brand or business
- Familiarity with CRM or EMR systems (Zenoti experience is a plus)
Compensation and Benefits
- Base pay: $15 – $20 per hour, based on relevant experience
- Annual base pay increases based on performance
