The Business Office Coordinator will be responsible for managing front office activities, including greeting clients, answering phones, and maintaining office supplies. Additionally, this role will support the accounting department with various clerical tasks, including data entry, processing invoices, and assisting with financial record-keeping.
Key Responsibilities
Front Office Duties:
- Greet and assist visitors in a professional and friendly manner.
- Answer and direct phone calls, take messages, and handle inquiries.
- Maintain a clean and organized front office area.
- Manage office supplies inventory and place orders as needed.
- Assist with scheduling appointments and meetings.
- Handle incoming and outgoing mail and packages.
Accounting Duties:
- Perform data entry for accounts payable and accounts receivable.
- Process invoices, expense reports, and payment transactions.
- Assist with bank reconciliations and month-end closing activities.
- Maintain accurate financial records and filing systems.
- Support the preparation of financial reports and statements.
- Assist with other accounting tasks and projects as assigned.

Qualifications
Education & Experience:
- High school diploma or equivalent; associate’s degree in accounting, finance, or related field preferred.
- Previous experience in front office or administrative role.
- Basic knowledge of accounting principles and practices.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with accounting software (e.g., QuickBooks/Mothernode) is a plus.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Good communication and interpersonal skills.
- Ability to multitask and work in a fast-paced environment.
- Any service or hospitality industry experience is a plus.
