Beautiful Blooms by Jen is a busy, top-rated florist in Sylvania, OH. We specialize in weddings and events while serving our community through a unique downtown retail space and local delivery of gifts and floral arrangements.
We are seeking a dynamic and highly organized Executive Administrative Assistant to support our Owner / CEO and provide support to the team. This vital, highly strategic, fast-paced role blends traditional executive support (calendar management, correspondence, travel, and office coordination) with hands-on involvement in the day-to-day operations of a floral business. The ideal candidate thrives on variety, transitions quickly between priorities, and is proactive, detail-oriented, and eager to grow alongside our staff and leadership team.
Key Duties and Responsibilities:
- Manage complex calendar schedules for the Owner / CEO, coordinating meetings, appointments, and travel arrangements with precision
- Maintain awareness of key dates, commitments, and complexities on the calendar
- Communicate internally and externally on behalf of the Owner / CEO, relaying her voice, vision and mission in all correspondence
- Managing purchases and expense tracking, including travel purchasing and itinerary planning, catering arrangements and supporting events, including online and in-person scheduling, creation, and day-of coordination
- Prepare, proofread, and organize documents and correspondence using Microsoft Office Suite, Google Workspace, and other productivity software
- Maintain accurate filing systems, data entry records, and spreadsheets to support administrative operations and reporting needs
- Provide excellent customer service, greeting visitors, answering questions, and directing calls with courteous phone etiquette
- Support office management duties including supply ordering, facility coordination, and ensuring a clean, organized workspace
- Assist with bookkeeping tasks , bank deposits, and financial reporting to track expenses and invoices
- Organize travel plans, manage confidential information, and handle special projects as needed
Qualifications:
- Associate's degree or higher
- Proven experience as an administrative assistant or in a similar office support role with demonstrated organizational skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), Apple OS, email, and internet-based tools; ability to learn new software quickly
- Excellent written and verbal communication skills
- Excellent time management skills with the ability to prioritize tasks efficiently under pressure
- Self-driven, proactive, and highly organized with the ability to multitask across competing priorities
- Clerical experience including filing, proofreading, calendar management, and document preparation
- Experience directly supporting an executive is preferred
- Experience in social media marketing, digital promotion, or event planning and execution is preferred
Schedule:
- Five days per week during business hours: Monday–Friday, 9:30 am–5:30 pm
- Hybrid/flexible schedule to be set upon hire
- Minimal evening and weekend availability expected
- Occasional overtime during peak seasons and special events
